Simplify the customer experience and reduce costs with an AI-powered travel agent

A large European travel website was able to automate over 25% of their customer service conversations with Rasa

travel backend assistant

The Challenge

A large European travel website has hundreds of customer booking requests daily. The majority are urgent, with customers about to start their journey or already in a foreign country. The increased cost pressure in the industry is forcing companies to invest into automation.

Conversations about bookings tend to get complex very quickly. There are a lot of specific rules and not many standards, meaning simple FAQ-based bots typically add little value for customers. Deep integrations into backend systems are required, as well as a way to train specific machine learning models for the travel industry vocabulary.

The Solution

Using Rasa, the company built a conversational travel agent which could handle complex interactions with customers. The agent is end-to-end automated with machine learning-based dialogue management and deep backend integrations. The company was also able to improve the accuracy of their language model by integrating real conversations.

The company went from idea to deployment in less than three months. Focusing on a few use cases with high volume of customer service on Facebook Messenger, after a short training phase the AI assistant was able to handle more than 25% of requests. Now, the company plans to expand into further use cases and conversational platforms like WhatsApp and live web chat.

Online Travel Planning Tools and Apps

The digital sphere is brimming with a wide array of travel planning tools and applications. These platforms furnish travelers with a plethora of information, encompassing everything from flight selections and lodging options to local points of interest and dining suggestions. They grant individuals the autonomy to manage their travel arrangements autonomously. Nevertheless, it’s important to recognize that these tools may fall short in comparison to the personalized touch and intimate local knowledge that a dedicated Travel Assistant brings to the table. While they excel in providing information, they may not possess the capacity to customize recommendations according to individual preferences and requirements.

Virtual Travel Assistants and Chatbots

The emergence of AI technology has paved the way for virtual travel assistants and chatbots. Searching for the best flight deals.

Virtual travel assistants excel at searching for the best flight deals based on user preferences. They access multiple airlines, travel websites, and databases to find available flights that match the desired criteria, such as travel dates, budget, and preferred airlines. By analyzing a vast amount of data in real-time, these assistants can quickly present the most suitable flight options to travelers.

Comparing prices and options

In addition to searching for flight deals, virtual travel assistants can also compare prices and options across different airlines and travel websites. They display a side-by-side comparison of flights, including details such as departure and arrival times, layovers, and available amenities. By considering all these factors, travelers can make informed decisions and choose the option that best fits their preferences and requirements on booking flights and accommodations.

Personalized flight recommendations

Filtering options based on preferences

In addition to finding accommodations, virtual travel assistants offer extensive filtering options. Travelers can customize their search based on criteria like price range, star rating, guest reviews, and amenities. By applying these filters, travelers can narrow down their options and focus on accommodations that meet their specific preferences and requirements.

Reading reviews and ratings

Accessing exclusive deals and discounts

One of the advantages of utilizing virtual travel assistants is the access to exclusive deals and discounts. These assistants often have partnerships with travel websites or providers, allowing them to offer special promotions or discounted rates for booking flights and accommodations. By using a virtual travel assistant, travelers can take advantage of these exclusive offers and potentially save money on their flights and accommodations.

Personalization and customization

Virtual travel assistants prioritize personalization and customization. By utilizing AI and machine learning, they can understand each traveler’s preferences and provide tailored recommendations for booking flights and accommodations. For example, if a traveler prefers boutique hotels or vegetarian-friendly restaurants, the assistant will take this into account when making suggestions. This level of personalization enhances the travel experience by catering to individual preferences and needs.

Continuous learning and improvement

Virtual travel assistants continuously learn and improve through AI and machine learning algorithms. They analyze user interactions, gather feedback, and adapt their recommendations based on these insights. By continually learning from user behavior and preferences, these assistants can refine their algorithms and provide increasingly accurate and relevant recommendations over time.

This instant support helps travelers make informed decisions and resolve any issues quickly and efficiently.

Assistance with changes and cancellations

In addition to general inquiries, virtual travel assistants assist travelers with changes and cancellations. If a traveler needs to modify their flights or accommodations, the assistant can guide them through the necessary steps and help facilitate the changes. This saves travelers from the hassle of contacting multiple service providers and streamlines the process of making changes to travel arrangements.

Emergency support during travel

Virtual travel assistants also offer emergency support during travel. In case of unforeseen circumstances or emergencies, travelers can rely on these assistants to provide immediate assistance and guidance. Multilingual Capabilities

Support for different languages.

Virtual travel assistants often support multiple languages, making them accessible to a diverse range of travelers. They can understand and respond in various languages, allowing users to interact with the assistant in their preferred language. This multilingual capability caters to travelers from different regions and enhances the accessibility of the virtual travel assistant.

Translation services

In addition to supporting multiple languages, virtual travel assistants can provide translation services. They can assist travelers in communicating with locals or service providers in a foreign language, helping bridge language barriers. Whether it’s translating phrases or interpreting conversations, these assistants ensure that travelers can navigate language challenges more easily during their trips.

Cultural and local knowledge

Virtual travel assistants may also have cultural and local knowledge about different destinations. They can provide insights, recommendations, and tips specific to various cultures, customs, and local attractions. This cultural knowledge enhances the travel experience by offering a deeper understanding and appreciation of the destination’s unique characteristics and traditions.

User Privacy and Security

Data privacy measures.

Virtual travel assistants take user privacy seriously and implement measures to protect user data. They ensure that personal information, such as contact details and payment information, is encrypted and stored securely. Additionally, they adhere to privacy regulations and only collect data necessary for providing their services. These privacy measures give travelers peace of mind and confidence in using virtual travel assistants.

Secure payment processes

Virtual travel assistants prioritize secure payment processes when facilitating bookings. They partner with trusted and secure payment gateways to ensure that financial transactions are protected. By utilizing industry-standard encryption and authentication methods, these assistants safeguard the traveler’s financial information during the booking process.

Protecting personal information

In addition to data privacy and secure payment processes, virtual travel assistants employ techniques to protect personal information from unauthorized access or misuse. They implement measures like two-factor authentication, secure data storage, and regular security audits to safeguard user information. These efforts ensure that travelers’ personal data remains confidential and protected throughout their interactions with the virtual travel assistant.

Virtual Assistant Platforms

Popular virtual assistant platforms.

There are several popular virtual assistant platforms available to travelers for booking flights and accommodations. Some of the well-known ones include AllAboardHub, TripIt, HelloGbye, and Pana. These platforms offer a range of features and functionalities to assist travelers in various aspects of their journey, from booking flights and accommodations to providing real-time travel information and personalized recommendations.

Features and functionalities

Virtual assistant platforms offer a variety of features and functionalities to enhance the travel experience. These may include flight and accommodation search and booking, itinerary organization, real-time travel information updates, navigation assistance, and personalized recommendations for activities and attractions. The specific features and functionalities vary across different platforms, allowing travelers to choose one that best aligns with their needs and preferences.

Compatibility with devices

Virtual assistant platforms are designed to be compatible with various devices and operating systems. They often have web-based interfaces that can be accessed through desktop or mobile browsers. Additionally, many virtual assistant platforms offer dedicated mobile apps for iOS and Android devices, providing a seamless and consistent user experience across different devices.

Limitations of Virtual Travel Assistants

Complex trip itineraries.

While virtual travel assistants excel at assisting with straightforward trips, they may have limitations when it comes to complex itineraries. Planning multi-city or multi-country trips with multiple stopovers or specific routing preferences can be challenging for virtual travel assistants. In such cases, travelers may require more specialized assistance from travel agents or dedicated trip planning services.

Unforeseen circumstances

Virtual travel assistants rely on data and information that is available at the time of the search. However, unforeseen circumstances, such as sudden flight cancellations or natural disasters, can disrupt travel plans and cause itinerary changes. While virtual travel assistants can provide support and assistance in such situations, they may not have immediate access to real-time information or be able to quickly adapt plans based on these unforeseen events.

Lack of human touch

Virtual travel assistants provide efficient and personalized assistance, but they may lack the human touch and personal connection that some travelers value. While these assistants can understand user preferences and make recommendations based on data, they may not have the ability to provide the same level of empathy or intuition that a human travel agent or concierge can offer. Travelers who prefer a more personal and interactive experience may still choose to work with human professionals for their travel needs.

In conclusion, virtual travel assistants offer numerous benefits to travelers, from simplifying the booking process to providing personalized recommendations and assistance throughout the journey. By leveraging artificial intelligence and machine learning, these assistants continually improve their services and offer tailored experiences. With 24/7 customer support, multilingual capabilities, and a focus on user privacy and security, virtual travel assistants aim to enhance the overall travel experience. While they have their limitations in handling complex itineraries and can lack the human touch, virtual travel assistants are revolutionizing the way travelers explore the world and navigate their travel arrangements.

Queen of To Do

How to Use a Travel Assistant to Make Every Trip Easier

Are you always on the go, whether it’s for work or personal matters? Living on the road can become tiresome quickly, especially when something unexpected pops up. A giant rip in your dress shirt 30 min before a big presentation, running out of your favorite hard-to-find shampoo halfway through a grueling work trip, or needing someone to help convert handwritten notes into a typed document *now*. Why not let a travel assistant help?

A travel assistant is similar to a personal assistant, but for any and all travel related tasks. Travel assistants will work with you before the trip (to help with travel planning, packing, house preparations, etc.) and/or coming with you for the trip (grabbing prescriptions, doing laundry, mailing documents, etc.)

There’s always so much to do before a trip, there’s no need to spend your precious free time on tasks you don’t really want to do. Whether that’s combing through Google looking for sushi that’s closest to your hotel or waiting on an endless hold to change your departure flight, a travel assistant can help with any aspect of travel planning and always to your preferences. This allows you to start the trip feeling rested and stress-free, instead of frazzled and sure that you’re forgetting something.

A travel assistant can also come on the road with you, such as to your next convention or business trip. This allows you to instantly hand off hassles as they pop up, so you can stay focused on your work. Our travel assistants can help repair a button that’s popped off, run any and all your errands, have your favorite dinner ready for after your big presentation, find a spa that can fit you in for a massage today, the possibilities are endless. Before the trip you will meet with your travel assistant to go over needs, expectations, likes/dislikes, and itinerary. Every trip and every person are a bit different, so this planning is incredibly useful for both you and your travel assistant.

Your travel assistant can also help with post-travel tasks. Need to scan in all your receipts to submit for reimbursement? No problem, your assistant will organize, scan, and submit them all.

Need to send thank you notes or follow-up mail? Your assistant can purchase, fill out, and mail the cards, all they need from you is an address list. And of course your travel assistant can help with unpacking, laundry, grabbing groceries, any of the numerous post-trip hassles that pop up.

Traveling is stressful enough, and traveling for work is doubly so. A travel assistant can bring calm into the chaos and make your trip easier than ever. Contact Queen of To Do today to get started with hiring your own travel assistant.

Customer

Lena, our guide in Moscow was excellent. She was very knowledgable and could answer any question we had for her. We liked that she could pick up on our interests and take us places we might not have thought of to go. When we realized that one of the places we had chosen to see would probably not be that interesting to us, she was able to arrange entry to the Diamond Fund and the Armoury for us. Riding the Metro with Lena was a real adventure and a lot of fun. In Saint Petersburg we found Anna well versed in the history of the Tsars and in the Hermitage collection. Arkady in Veliky Novgorod was a very good guide and answered all of our questions with ease. Novgorod was perhaps a long way to go for a day trip, but we did enjoy it. Vasily was a great driver to have and kept us safe with good humour and skill. We enjoyed ourselves so much, my daughter says she is already planning to return. We would both have no hesistation to recommend ExpresstoRussia to anyone we know.

Just wanted to let you know that My grandson Bruno and I couldn´t have been more pleased with our week in Moscow (6/15 - 6/21). We were absolutely enchanted with the whole experience, including getting lost a couple of times in the Metro during our free time. Although both our guides (both Eleanas) were excellent, I would particularly commend the first one (she took us to the Tatiakov, the KGB tour, and to that beautiful cemetery where so many great Russian artists, authors, composers, musicians, militarists, and politicians are buried). Her knowledge is encyclopedic; and her understanding of today´s Russia as a product of its past was, for us, truly enlightening. I will be taking another tour in Russia, with my wife, within the next two or three years. I will be in touch with you when the time comes. Meanwhile, I will refer you to other potential visitors to Russia as I meet them.

Moscow Tours centering on Russian History

Moscow has a long and interesting history and has been the capital of Russia in many of its different iterations – capital of the Grand Duchy of Moscow , the Russian Empire and of course the Soviet Union (who could ever forget the Soviet Union?). Moscow, was founded in the 12th century by Prince Yuri Dolgaruki (Yuri of the long arms – he really did have long arms!). From that time on, it was home to the Russian Tsars until Peter the Great moved the capital to St. Petersburg in 1703. The city has survived invasions and sieges from the Mongols, the Tartars, the Poles, Lithuanians and Napoleon but has always persevered. Our Moscow tours will enlighten you on this great history and give you insights into Muscovites and their unique culture. Our Moscow tours show you what the city is like today but also brings to life the past. Moscow never seems to sleep and is bursting with energy. A Moscow tour with Express to Russia is truly the best way of getting to know Russia’s largest and most vibrant city.

Frequently Asked Questions From Our Travelers

What is the best time to visit moscow.

Any time of year is fine depending on what you plan to do. Summertime is pleasantly warm, ideal for exploring the city and its vibrant atmosphere, but Moscow will be much busier and accommodation is more expensive. Winter can be quite cold but beautiful nonetheless, and this is unproblematic if you intend to spend most of your trip in museums and galleries. There are also various festivals and events organised throughout the year. For more information about the best time to visit, read our guide

How many days are enough in Moscow?

If you plan your itinerary strategically and aren’t averse to a packed schedule, you can cover Moscow’s main sights over a long weekend. Most popular attractions are in the city centre, and the Moscow Metro allows you to cover much ground in a small amount of time. Ensure that your accommodation is fairly central and book tickets in advance, so that you can make the most of your days. For an informative and well-organised day out, check out our Moscow day tours with options to suit all interests.

Do they speak English in Moscow?

As Russia’s capital city, tourists are well accommodated in Moscow. There should be English-speaking staff in restaurants, bars, hotels, shops and attractions in tourist hotspots, and there are also English-speaking tourist police. Transport services have English translations on their maps and English announcements via intercom; alternatively, order taxis from the Yandex Taxi app (Russian Uber), though it’s unlikely that your taxi driver will speak English. If you get stuck and cannot communicate, it’s fine to use Google Translate.

Is it safe to travel to Moscow?

It is no less safe to travel to Moscow than to any European city if you exercise common sense and look after your belongings. As with every city some regions can be more unsavoury than others, but no tourist attractions are located there. The traffic in Moscow is notorious, so exercise caution when crossing roads. Do not take unlicensed taxis; book in advance or take public transport, which is widespread and perfectly safe. If you encounter any problems, look for the special tourist police who can help you. The churches inside the Moscow Kremlin are the Cathedral of the Dormition, Church of the Archangel, Church of the Annunciation, and the bell tower of Ivan Veliki (a church tower).

The five-domed Cathedral of the Dormition is considered the most famous. It was built from 1475–1479 by an Italian architect and has served as a wedding and coronation place for great princes, tsars, and emperors of Russia. Church services are given in the Kremlin’s numerous cathedrals on a regular basis.

The interior of the church surprises most people when they visit. In contrast to the large exterior, the inside is not so much one large area, but rather a collection of smaller areas, with many corridors and small rooms. There are 9 small chapels and one mausoleum grouped around a central tower.

Visiting the inside is like walking through a maze, there are even small signs all around the cathedral tracing where to walk, and pointing you in the right direction! The walls are meticulously decorated and painted with intricate floral designs and religious themes.

  • Make sure you bring your passport when you visit, you can’t go up without it!

For spectacular views of the city, make sure to add the Ostankino Television Tower to your itinerary for Moscow! This impressive free-standing structure provides stunning views of the city in every direction. The glass floor at the top also provides great alternative views of the city!

Ostankino Television Tower

It takes just 58 seconds for visitors to reach the Tower’s observation deck by super fast elevator. The tower is open every day for long hours and is a great site in Moscow to check out! There is even a restaurant at the top where you can enjoy rotating views of the city while you dine on traditional Russian cuisine or European cuisine!

The tower is somewhat of an architectural surprise in a city that is not known for skyscrapers! To see the city from a new perspective, make sure to add this stop to your Moscow itinerary!

Izmaylovo District

  • The most popular attractions in this district are the kremlin and the flea market
  • Outside of the city center and easy to reach via metro
  • Most popular during the summer and on weekends

Travel outside the city center and discover a unique area of the city! The Izmaylovo District is a popular destination for locals and tourists alike, and one of the coolest places to see in Moscow! The two main attractions we recommend checking out are the Kremlin and the flea market.

The Izmailovo Kremlin was established as a cultural center and molded after traditional Russian architecture. This colorful complex is home to several single-subject museums, including a Russian folk art museum and a vodka museum!

Izmaylovo District

Next to the Kremlin is the Izmailovo open-air market, which dates back to the 17th century! The market is connected to the Izmailovo Kremlin by a wooden bridge. Pick up all your Russian souvenirs here, including traditional handicrafts, paintings, books, retro toys, and Soviet memorabilia!

You will find many hand-made and hand-painted options available at higher prices, as well as mass-produced souvenir options at lower prices!

Museum of Soviet Arcade Games

  • Closed on Mondays
  • Filled with old arcade games that visitors get to try out!
  • The museum also includes a small cafe and burger shop

For something a little different, check out the Museum of Soviet Arcade Games! The museum features roughly 60 machines from the Soviet era, including video games, pinball machines, and collaborative hockey foosball! The machines inside the museum were produced in the USSR in the mid-1970s.

Museum of Soviet Arcade Games

The best part is, most of the games are still playable! Purchase tickets and try the games out for yourself! The museum also has a neat little screening room that plays old Soviet cartoons and an area with Soviet magazines! This unique attraction is a fun addition to a 3 day itinerary in Moscow, and an attraction that all ages will enjoy!

Whether you’re spending one day in Moscow, or more, safety is an important thing to keep in mind when traveling to a big city! Overall, Moscow is a very safe place to visit. However, it is always recommended that tourists take certain precautions when traveling to a new destination!

The police in Moscow is extremely effective at making the city a safe place to visit and do their best to patrol all of the top Moscow, Russia tourist attractions. However, tourists can still be a target for pickpockets and scammers.

Moscow has a huge flow of tourists, therefore there is a risk for pickpocketing. Simple precautions will help eliminate your chances of being robbed. Stay vigilant, keep your items close to you at all times, and don’t flash your valuables!

If you’re planning a solo Moscow itinerary, you should have no need to worry, as the city is also considered safe for solo travelers, even women. Stay in the populated areas, try and not travel alone late at night, and never accept rides from strangers or taxis without a meter and correct signage.

The threat of natural disasters in Moscow is low, with the exception of severe winters when the temperature can dip below freezing! Bring a good, warm jacket if you visit in Winter.

However, please note that Russian views on homsexuality are far less accepting than those in Western Europe. Likewise, Non-Caucasian travellers may sadly encounter racism in Russia .
