Must-have details for a conference travel itinerary:

  • The trip’s overall arrival and departure times and essential transportation details. When does the executive need to leave home to make it to the airport? Will she provide her own transportation or has that been pre-arranged? Consider all the little questions you subconsciously ask as you plan your own trips, and include the answers as itinerary details.
  • Travel confirmation/reservation numbers, (These are good to have on hand to make trip details easy for customer service representatives at different transportation hubs to look up if there are questions or issues with the executive’s plans.

  • Include the trip’s overall arrival and departure times and essential transportation details. Plan for the executive to arrive early enough to the airport to avoid any travel snafus, and be sure to include arrival and departure details for any connecting flights.
  • Included relevant details on the primary mode of transportation the executive will use to navigate the other country. For example, if an American businessman is taking a trip to London, he’d likely want to have all the London Underground basics down, including what kind of pass the system requires, how to plan routes, and how to understand schedules.
  • Call out relevant international travel applications that could help the executive easily get around.
  • Parking details.
  • Seat numbers and international in-flight meal and drink details.
  • Addresses of the relevant transportation hubs.
  • Details for all terminals. (This is especially important for large international airports or train stations where terminals or gates can be miles apart.)
  • Lodging amenities. Does the hotel have necessary appliance adaptors? Do they offer complimentary Wi-Fi?

So should you go with checked or hand luggage only? Is hand luggage enough for you when traveling by air? Our rule of thumb when is to ask yourself the following questions, which can help you decide whether hand luggage is enough or if you should consider fronting the extra bucks to check a bag:

  • Is your meeting formal or informal? If it’s formal you may want to consider checking a bag so you can keep your suit or blouse from wrinkling.
  • How many days are you traveling for? 1-4 days of informal business travel can easily be packed into hand luggage only. Beyond 5 days, it’s definitely worth checking a bag or if you have to deal with cold weather or different climates on the different stops in your trip.
  • Will you be adding time on for bleisure or blended travel? If you decide to add in extra days either before or after your trip you may consider throwing in a bathing suit to hit the beach or the spa or some extra clothes that don’t necessarily scream “I’m on a business trip.”
  • What kind of traveler are you? If you’re the kind of traveler that wants to throw in your rain boots and parka in case it rains when you’re traveling to Spain that has an average of 50 days of rain a year, then you might consider checking a bag. If you’re a “worst case scenario” type of traveler then just a carry-on will most likely never suffice.

My son moved to downtown Seattle last year, so my wife and I will fly in and stay in a hotel somewhere near him for the first couple days. I’ll let him pick the sights, but would be interested in seeing Lake Union Park and maybe the Washington Park Arboretum (particularly the Japanese Gardens).

Next I want to rent a car and do a loop around the Gulf Islands and Vancouver Island with a bunch of ferry rides. Specifically:

* Mukiteo-Clinton to get on Whitby Island, then drive up through Bellingham into Canada to get the Tsawwassen-Long Harbor ferry for a TBD overnight on Salt Spring Island.

* Drive down to Victoria for a couple nights (after another short ferry ride). Lodging TBD, but it looks like there are various reasonably priced places on the harbor waterfront. Activities TBD.

* Ferry back to Port Angeles and drive to a rental house near Dungeness. This is the only thing I have locked in at present. I know nothing about the area, but the house is on the waterfront there and it looks pretty cool. The plan is to use this place for a few days as a base to explore the National Park and northern peninsula. According to google maps, the drive time to Hurricane Ridge VC is a little over an hour and it shows 2.5 hrs to the Hoh Rain Forest VC. Do these drive times sound reasonable?

* After 4 nights in the house, I’m unplanned. I’m thinking that we could possible spend a couple nights on the Pacific coast somewhere. I’ve seen recommendations for Quileute Oceanside, but would be particularly interested in thoughts on looping back down via the west side of the OP versus coming down the east side via Rt. 101 along the Hood Canal or some other approach, then either swinging down around Tacoma or taking the Bremerton Ferry back to Seattle.

We’re east coast based water people and really looking forward to the trip. I know September might not be optimal timing, but this was our only option this year. Hopefully we’ll be able to see through the wildfire smoke:)

I like the look of that from this side. Be warned - that direct ferry from Tsawassen to Long Harbour is one of the few routes that is 100% reservable and you absolutely must book ahead. Its a lovely trip, but a milk run, stopping at Galiano and Mayne before getting you to SSI. I think we were 5 hrs. Just plan for that and enjoy the trip. We played several hands of Canasta.

You could have done better than to pick a rental in Sequim, but it's too late now. You added about 40 minutes each day to what will already be a lot of driving. You really want to drive 5 hours roundtrip to visit the Hoh RF? The driving here is not scenic as the road does not run through, or even near, the park. With the exception of the truly beautiful 19 minute stretch where Highway 101 runs along Lake Crescent, the road passes through rather tedious logging country, with clearcuts and very poor little hamlets. It's not until you enter the park access roads that you get any sense of ONP's beauty.

You don't seem to have a handle on where things are. If you want to stay at Quileute Oceanside, why not use that as a base for the Hoh RF? It's about 1 hour and 15 minutes from the Hoh as opposed to 2.5 hours from Sequim. None of this makes sense.

What, besides the Hoh RF and Hurricane Ridge do you want to see? Have you checked tide times for the beaches so you can see the tide pools? Do you want to hike in the mountains? How much hiking would you like to do? What about the Quinault Rain Forest? How will you fill your time in Sequim?
