You're planning a wedding from afar, which likely means that you'll have just a few (if any!) in-person meetings with your vendor team. What's more, any phone or video calls require careful coordination to account for time zone differences. Add in possible language barriers, currency differences, and the potential nuances of local customs, and it's easy to understand why couples planning destination weddings on their own might feel out of their depths fast.

And you're usually planning more than just the main event: When throwing a destination wedding, being a good host or hostess is the name of the game. That means you'll likely plan multiple days worth of events and also help facilitate guest travel by booking room blocks , transportation, and potentially even helping to organize flights. Needless to say, there are a lot of moving pieces involved. One easy way to keep your heads above water? Lean on the support of a professional. Destination wedding planners can help you design the celebration of your dreams and manage all of the logistical details.

Why Should You Hire a Destination Wedding Planner?

Think of your wedding planner like a coach or captain: Their job is to lead the entire team to success and keep everyone (and every element of the celebration) in order. Your wedding planner is responsible for connecting and communicating with the day's other vendors, helping to design the overall look and feel of the party, and orchestrating the event(s). When you're planning a destination wedding—especially one that's taking place abroad—they are tasked with even more responsibilities and challenges. "Destination wedding planners normally are familiar with the customs, language, and the peculiarities of the countries and regions they serve and are skilled at dealing with cultural differences when planning," shares Nicole-Natassha Goulding of  Chic by Nicole . "For example, European countries may have a much slower pace and longer turn around times for responses from vendors, and certain regions don't have access to the same floral and rental options as North America. We're experts on working in multiple time zones simultaneously as well."

Destination wedding planners will also take the lead on tasks you might otherwise overlook . "I am obsessed with details—logistical details, styling details, the smallest details down to the placement of a fork," says premier destination wedding planner Kimiko Hosaki . "Timelines and seating plans are strategic puzzles to me that I love obsessing over for hours until they're just perfect, ensuring the most enjoyable experience for everyone." 

How Much Does a Destination Wedding Planner Cost?

The cost of a destination wedding planner will vary based on the planning services provided, the wedding location, and the number of guests. A premium wedding planner who provides event design as part of their services will often charge a minimum of 20 percent of your wedding budget. This does not include the amount of additional labor or travel expenses that may be required to execute the wedding day or your other pre-wedding activities. "Most destination planners require their travel and accommodations covered for site visits, as well as the wedding weekend," says Goulding. "Other common fees may include a daily per diem while traveling, depending on the team."

What Does a Destination Wedding Planner Do?

In addition to traditional wedding planning duties, here is a list of common tasks destination wedding planners are generally responsible for:

  • Provide guidance based on their knowledge and local research on laws, permits needed, and marriage license requirements.
  • Offer you select vendors and a venue best suited to your guest count, budget, and vision. 
  • Help you produce a realistic budget based on your needs and desires. They can offer suggestions on where you could cut back and what's worth the splurge.  
  • Offer travel guidance and advice to help you and your guests plan the trip with confidence.
  • Create contingency plans for rain and other unforeseen road bumps.
  • Coordinate with vendors and the venue, timeline management, and family management.
  • Manages RSVPs and guest lists .
  • Make recommendations for a florist, audio and lighting equipment rentals, and hair and makeup.
  • Negotiate, communicate, and manage the catering team.

Does a Destination Wedding Planner Need to Be Based in the Wedding Location?

While you can hire a wedding planner that lives and primarily works in a destination location, there are plenty of incredible professionals who are based remotely. Deciding which one to hire is a personal decision of the couple, shares Goulding. "Destination planners normally specialize in planning weddings outside of regions where their teams may be physically based. Due to our expertise, network, and connections, the planning process and service should be identical to planning with someone based in the local regions," she says. "Our team has freelancers and planning partners located in areas where we offer wedding planning services—there are always 'boots on the ground' while planning."

Goulding says its fine to hire a destination wedding planner who has never worked with a particular venue before, but she advises to work with a professional who at least has experience in the region. "A venue is generally a venue and a skilled planner can navigate planning by having detailed site visits at the establishment," she explains. "Locations I think are a bit trickier. Having been to a country definitely gives a planning team a leg up when planning."

Kimiko advises that couples should have their destination wedding planners visit the region ahead of the celebration. "When planning at a venue I have not been to before, I prefer to personally inspect the venue or send one of my trusted team members that have worked with me for years and know what I look for," she shares. "I have learned over the years that a successful wedding requires being able to understand your venue, its challenges, and how it will function on the day of the wedding."

Ask the Venue for Recommendations

If you have your eye on a specific wedding venue , ask them who their favorite planners are to work with based on their customer service, vendor management, organization, and professionalism. Those relationships can help strengthen the level of communication around planning.

Look at Social Media

Find some of your favorite wedding images on social media and look to see who designed and coordinated them. It's also good to look up wedding photographers that work in your destination because their pictures will show the planner's style.

Read Testimonials

It's always a good idea to see what other couples have said about their planners. You’ll want to feel confident that you can connect with your planner and trust them. You should also reach out to your network and see if anyone you know has personally worked with an amazing destination wedding planner.

Schedule a Call

Have an open conversation with the planner about what the vision is for your wedding. Many can put together a nice-looking wedding, but you also want a planning team that can mediate and solve problems on the spot. Ask how many weddings they have produced and to tell you a story about when things went wrong at a wedding they planned. Goulding adds, "Couples should generally ask how comfortable the team is with the location they may be interested in. Additionally, inquiring about assistance with travel arrangements, and average budget required for certain locations and countries may help them in their decision on where to tie the knot."

INTRODUCTION AND DISCOVERY CALL

To ensure that you have an enjoyable travel experience from beginning to end, VIP Weddings and Travel follow a seven-step travel planning process. An integral part of creating a happy, satisfied client is understanding your travel ideas and goals, so we recommend a 15-30 minute discovery call. At this point, we will complete the Travel questionnaire to capture all the details.

RESEARCH & CREATE THE OVERALL ITINERARY

Based on your feedback from our preliminary questions, we will research and customize your trip. It is the most time-consuming step, but it is crucial to get it right. We will email you your initial proposal(s). You will then provide feedback. If adjustments are required, we will make them.

COMPLETE AND SIGN THE TRAVEL AGREEMENT AND TRAVEL INSURANCE WAIVER

As part of the travel process, you will sign the Travel Services Agreement and Travel Insurance Waiver. 

FINALIZE AIR & ACCOMMODATIONS

Travel dates will be re-confirmed once again. The next step is to book your accommodations and/or air with the various suppliers as soon as you have finalized and approved the overall itinerary. Just so you know, when purchasing airline tickets, you’ll need to pay for them in real-time; most airlines require full payment at purchase (there are some exceptions) while the rest of your itinerary can be paid in installments. Some clients will use their points to purchase air on their own. 

PROCESS PAYMENTS WITH ALL SUPPLIER(S)

We will make the deposit(s) or full payment to the supplier(s) for the finalized bookings.  You will be sent suppliers’ invoices and confirmation of all payments.

Review final travel documents with the Travel Advisor. W e will send you your pre-trip checklist before your departure.

Planning a travel themed wedding? The goal of this article is to provide inspiration for couples planning a travel inspired wedding or destination wedding.

I guess you could say that Laurence and I had a travel-themed wedding although it was more of a destination wedding. We legally married at sea aboard the RMS Queen Mary 2 in the Atlantic Ocean. Then we had a small ceremony in Venice Italy for family and friends to celebrate our wedding in Venice .

Even though we did not have the most traditional wedding ceremony or reception, I spent quite a bit of time online researching awesome travel themed wedding items and ideas about ways a couple could incorporate their wanderlust and love of travel into their wedding ceremony and wedding reception.

We’ve put together a list of over 100 items that we think would be perfect for a travel-themed wedding. These include travel themed wedding invitations, wedding rings, wedding decorations, table place cards, cake toppers, DIY ideas, wedding favor gifts, and more!

Many of our recommendations are focused on handmade items and unique products that can be customized to fit the style of any wedding couple. We include items that should fit just about any type of wedding and suit any wedding budget.

100+ Ideas for a Travel Themed Wedding

In 2015, one survey of American wedding couples found that approximately 21% have a destination wedding of some sort, whether domestically or internationally. The study found that there are more than 350,000 destination weddings each year, 77% of which take place in the continental US and 23% at international destinations with the Caribbean and Mexico being the two most popular destinations.

However, not all couples want or can have a destination wedding, but many still want to incorporate their love of travel into their wedding celebration. You don’t have to have a destination wedding to fill your marriage celebration with travel inspired touches. 

So we are sharing over 100 products we found during our search that we thought would be perfect for a travel themed wedding or a destination wedding. These simple travel themed wedding decorations can help transport your guests to another land, and make them feel like they’re on holiday, even if they are still in their hometown.

I got truly interested in the topic of how to incorporate elements of travel into one’s wedding after we decided to get customized engagement/wedding rings with a strong travel element.  Many of the items on this list we physically reviewed. Some were items we purchased or received as gifts, and others were given to us by artists for review. Other products are just ones I loved when researching travel themed weddings online.

The majority of the items included on our list are handmade or hand customized items, made by a single artist, family, or a small business. Many of these items are truly unique and the majority can be customized to include elements that are special to you.

Note that most wedding items are marketed towards heterosexual couples with bride/groom and his/her versions. However, given that most of our recommended items can be personalized, most artists are happy to adjust wording/colors/features to suit a gay wedding, civil union, nonbinary couple, etc. Just message them to ask!

We know that many people, like us, want to try to support local businesses when we can, and with Etsy it is easy to find products that are made in one’s own country. We share items that are made worldwide, with a large number of products produced in the USA, Canada, and the UK. But we also include items made by artists in Australia, the Ukraine, France, India, Brazil, Israel, etc. 

When shopping, we recommend ordering items well before you need them for the wedding. Personalized and custom orders will take longer to make and international shipping times can be slow.

Although we chose these items specifically for a travel themed wedding, many of these items will also work for travel themed bridal showers, bon voyage parties, birthday parties, baby showers, engagement parties, wedding couple gifts, and just as general travel-related gifts.

My dream is to have a ceremony on the beach at sunset. Is this a good idea? It’s important to give myself a few days to relax prior to the wedding.

Hi Stacey, I think that it is your dream, then you should do it as long as your spouse-to-be is also on board with the idea. It can be tricky to have an outdoor wedding but I would just have it somewhere where the weather is normally warm and predictable and have a plan if the weather is less than ideal (an alternative indoor venue). If you are working with a wedding planner, they should be able to help get everything worked out for you. Giving yourself a few days to relax in advance sounds like a great plan! Hi Lissa, Yes, when we got married on the Queen Mary 2 ( https://independenttravelcats.com/2015/12/22/wedding-at-sea-married-cunard-queen-mary-2-wedding/ ), we did very little planning as your options are obviously more limited and you have a wedding coordinator who helps you out and does the work of setting things up. We just had to come up with readings and music and make some selections regarding vows, flowers, food, etc. Very easy which was perfect for us! ~ Jesica

Lots of nice products (and lots of research to put it all together!). I myself organized a travel themed barmitzva for my son a couple of years ago – lots of work went into travel video making (about all countries he visited) and decorations (every table was themed with a different country) but it was a lot of fun and quite unusual for a barmitsva! Needless to say- our wedding happened while travelling too (in Eastern Europe some 20+yrs ago).. while not too many people got to witness it, I would not do it any other way. It makes the day so special!

My friend did something similar with her wedding although it was more wildlife themed (her and her husband worked at a nature preserve) and each table represented animals from different parts of the world. Hi Erin, Yes, I think since most people now send Save the Dates as well as invites, it is nice to establish a theme if one is going to have one before the actual wedding day. But I think these invites are great even alone without having a travel themed wedding or destination wedding. The passports can provide a lot more information than a normal paper invite, including all the travel, pre-ceremony, venue, ceremony, and registry details as you can add as many pages as you need. ~ Jessica

Your post made me so jealous! I got married almost 4o years ago, when there was no such thing as a ‘themed wedding.” In my country of origin people were married in a very traditional way, so this is how I got married to, but I would have loved to have a wedding like yours. Recently I attended a themed wedding for my niece though, in Florence. It was very beautiful, but nothing like yours. You’ve exceeded everything I’ve ever seen or heard so far. Wow!

Hi Anda, Yes, I think weddings, particularly for Americans, have become much more for the couple and what they would like to do and less about the family. I think it has to do partly with the fact that wedding couples are much more likely to pay for at least part, if not all, of their own wedding rather than the bride’s parents paying for most of it (many can’t afford to do this). Our wedding on the boat was private and fairly simple, and our wedding in Venice looks fabulous in photos, which it was of course, but it was also very small and informal. It was great for us as it was pretty stress-free! ~ Jessica

Jessica, we got our travel inspiration from our honeymoon, but if I could turn back time and have a travel inspired wedding I would chose some of these items. I love the bow tie, cufflinks, bouquet, cake topper and invitations, but adored your luggage. I first noticed your luggage in your wonderful Orient Express post. The rings are also a great idea for replacing expensive, sentimental rings when travelling which is something that is a need for many., but something I have never thought of doing. Hi Lyn, Yes, I know, these make me want to get married again and I just got married! You have a good eye, yes, this is the same luggage we took on both the Queen Mary 2 and Orient Express. After the wedding the cosmetic case (because our wedding party didn’t have room to take it back) ended up traveling with us through Italy, Morocco, and Egypt…probably not the best choice of luggage for desert travel but it survived. Laurence is thinking about wearing his map bow tie and cufflinks when he gives a speech at an upcoming travel conference which I think will be perfect:) We love our rings, and if you are looking for unique travel rings, I can highly recommend Bruce. So many great ideas here, Jessica! I am getting closer to this stage with my daughters (not quite yet!), but I know one of them has talked about a destination wedding. I actually bought the cuff links for my husband with our hometown on them, just for fun. The cake toppers are really cute – that would be so special. There are so many creative alternatives to the “standard issue” things I did back in the day. Helps you get excited for something very special:)

Wow, such a fantastic post! I am already long married but I love so many of the travel themed wedding ideas, especially the map bow ties, the passport invites, that beautiful orange luggage set, and the globe with the pearls. Also I had never thought of paper flowers, great idea to have after the wedding as a beautiful keepsake of the Big Day! I also love the map pin board and I am contemplating getting one for my niece and nephew. Saving this post for when I have relatives get married!

An Indian mega-party is attracting so many private jets that officials set up extra passport control for all the VIPs

  • India's Ambani family is hosting a three-day pre-wedding party, attracting the world's elite.
  • Guests like Bill Gates, Mark Zuckerberg, and Ivanka Trump, led to a surge in private jets at the local airport.
  • Government officials agreed to set up a passport-control center especially for the event.

The party of the month (year?) is underway in India , and the local airport is pulling out all the stops to cope.

The Ambani family is hosting a bash for one of its scions, Anant, to get married to Radhika Merchant .

The Ambanis are Asia's richest family, with its patriarch Mukesh Ambani worth $111 billion.

Bloomberg has him 11th on its Billionaire Index, thanks to the vast wealth of his company Reliance Industries.

He's a touch behind Google founder Sergei Brin and ahead of Mexico's Carlos Slim, once the richest man on earth.

This isn't the actual wedding, which is in July. It's a pre-wedding party, and is due to go on for three days in Reliance Township in the Indian state of Gujarat.

Joining the fun are Bill Gates, Mark Zuckerberg, Larry Fink, Ivanka Trump, and an array of the richest and most famous people in India. Rihanna is performing.

That kind of guestlist brings a long trail of private jets and the local airport in Jamnagar isn't built for it.

An article posted by India's The Hindu newspaper marveled at the 150 planes descending at roughly the same time.

It said around 50 of them were private jets coming from other countries, meaning passport control for their occupants.

If you think that might mean billionaires irately standing in line, like they had to at Davos , you would be wrong.

An airport official told The Hindu that he'd spoken to the Indian government and laid on some extra capacity for the powerful guests.

"With the permission of the Government of India, we have set up a Customs, Immigration, and Quarantine (CIQ) centre at the airport. This is meant to facilitate the international visitors landing directly at Jamnagar," DK Singh, the airport's director, said.

Everyone, it seems, is determined to make the party an impressive one.
