Indian National Science Academy

International exchange and collaboration.

Background   Since 1968, the Academy has been successfully collaborating with scientific academies/organizations abroad by exchanging research experience and scientific information. Such a relationship is achieved usually through bilateral cooperation i.e. exchange of scientific information and publications, exchange of scientist’s visits, cooperative research projects, organization of joint symposia and other scientific activities. The Academy coordinates the exchange programme by facilitating contacts of individuals/scientific institutions in India with those of various foreign collaborating countries. To realize these objectives, the Academy has established Bilateral Agreement/Memorandum of Understanding with 59 Science Academies/Organizations in Europe, Asia, North America, South America and Latin America. Under the Exchange Programme, the visit of the scientists are exchanged under two categories- short term visits for 2-8 weeks and Long term/Fellowship visits upto 6 months. Generally, the senior scientists are nominated for short term visits for having discussion and interaction with Scientists in different Institutions and the young scientists are nominated for longer duration for having collaborative research/training preferably in one institute/laboratory abroad. In 1989, the Academy instituted the  Jawaharlal Nehru Birth Centenary Medal to be awarded annually forinternational cooperation in Science & Technology and for contributions to public understanding of Science. Scientists from all nations are eligible for consideration. The first award was made in 1990. The award carries a bronze medal and a citation. The travel and local expenses for the journey performed to deliver the award lecture will be paid to the awardee by the Academy. The Academy, also in 1989 instituted the Jawaharlal Nehru Birth Centenary visiting Fellowship to commemorate Pt. Jawaharlal Nehru’s commitment and sustained support for science. This Fellowship enables the Academy to project the achievements of Indian Science & Technology abroad. One Fellowship is awarded every third year to a distinguished Indian Scientist for delivering the series of Lectures abroad not restricted to countries with which the Academy has Exchange Programme.Since 1976, the Indian National Science Academy and The Royal Society, London had been jointly organizing the Blackett Memorial Lecture and the Sir J.C. Bose Memorial Lecture every two years alternately in India and the United Kingdom. The British scientists delivered the Blackett Memorial Lecture in India, whereas the Indian Scientists delivered the Sir J.C. Bose lecture in U.K. Following the communication received from the Royal Society, London, the Blackett Memorial Lecture and the J C Bose Memorial Lecture have been discontinued from 2010 onwards. Further in 2011 INSA has re-established the Lecture series to be awarded to a scientist of international repute in any branch of science.Beginning 2005, the Academy in association with the French Academy of Sciences instituted “Etienne Wolff- Ramanujan Lecture Series” to be organised alternately in India and France . The Etienne Wolff Lecture is delivered by French scientist in India and the Ramanujan Lecture is delivered in France by the Indian scientist alternately. INSA-German National Academy of Sciences, Leopoldina Lecture Series:  INSA and German National Academy of Sciences, Leopoldina have jointly taken an initiative to establish Lecture series between the two academies. A senior Indian speaker will deliver a (or a series of) lecture/s in Germany in one year and alternatively, a German scientist in India in the following year. This lecture series will be in addition to Indo-German Joint Symposia. To support and encourage the scientists and technologists from other developing countries to pursue their research and training in Indian scientific research institutions, the Academy jointly with the Sir Dorabji Tata Trust has instituted a INSA-JRD Tata Fellowship.20 Fellowships are supported annually under this programme. The Fellowship covers to and fro airfare, board and lodging at the affiliated institution/s and a maintenance allowance to meet the incidental and other miscellaneous expenses. The Academy has been a member of the IA Partnership, Third World Network of Scientific Organization(TWNSO),  The World Academy of Sciences (TWAS) and is playing an active role in the promotion of science & technology in the Asian region by cooperating with the  Association of Academies and Societies of Sciences in Asia (AASSA) ,  Science Council of Asia (SCA)  established by  Japan Science Council (SCJ).

1. SJEF Travel Grant 2024

• The eligible applicants for this grant are research scholars, post-doctoral fellows (PDFs), and young scientists or faculty members under the age of 35 in the field of Metallurgical and Materials Engineering.
• Additionally, young scientists pursuing or holding a Ph.D. and conducting research in Metallurgy and Materials Science within R&D labs are also eligible for consideration.
• There is no specific deadline mentioned for the application.

2. NBHM Travel Grant 2024

• The National Board for Higher Mathematics (NBHM) offers financial assistance to mathematicians for participating in conferences, symposia, and summer schools both nationally and internationally.
• Application forms can be obtained from the NBHM website or by contacting the NBHM Office via email. It is essential to submit the filled application at least three months before the date your journey starts. 
• The application, along with the required documents, should be sent by post and scanned copies through email.

• The scheme assists in presenting research papers, chairing sessions, and delivering lectures/keynote addresses.

• The application should be submitted in the prescribed format through the proper channel at least two months before the event, along with the necessary documents.
• Reimbursement depends on when the applicant submits a detailed report, original air tickets, and boarding passes within two months of the conference. 

4. The Indian Council of Philosophical Research (ICPR) Scheme Of Travel Grant 2024 

• The Indian Council of Philosophical Research offers a Travel Grant scheme to support scholars in philosophy and allied disciplines attending international academic events abroad.  
• Open to scholars of all ages and statuses, the scheme prioritizes faculty members in Indian colleges or universities , especially those in Philosophy. 
• Eligible activities include presenting research papers, chairing sessions, and delivering lectures at international conferences. 
• The expenses cover 50% of round-trip airfare by economy class from an Indian airport to the conference destination.

8. AICTE Travel Grant 2024

• The Travel Grant for Faculty is designed to foster research and development in technical education by affording meritorious faculty members opportunities to engage at the international level and stay abreast of global developments in their specialized fields. 
• Eligible applicants must belong to an AICTE-approved institute or university department with a minimum of five years of existence, and the hosting department should be NBA-accredited. 
• The grant, amounting to Rs. 1.5 Lakh , is provided once every two years for three years. The scheme covers 100% reimbursement of expenses, and a three-member expert committee evaluates proposals. 
• Terms and conditions emphasize adherence to travel guidelines, including the use of Air India , and comprehensive documentation is required for reimbursement, facilitated through the applicant's parent institution. 

9. ACM India-IARCS Travel Grants 2024

• These grants target individuals affiliated with Indian academic institutions .

• Eligible applicants must be registered Ph.D. candidates for two to three years, possess first-class degrees at the Bachelor's and Master's levels, and be born after January 1, 1988, with Indian citizenship and current residency in India.

13. IBRO Travel Grants 2024

• The IBRO Travel Grant program aims to support early-career Ph.D. students and post-doctoral fellows in the field of neuroscience by providing funding for their participation in international neuroscience meetings and events scheduled for 2024.

16. Boehringer Ingelheim Fonds Travel Grant 2024      

• The Boehringer Ingelheim Fonds (BIF) offers travel grants of up to three months to MD and Ph.D. students , as well as postdoctoral researchers globally, supporting experimental projects in basic biomedical research. 
• The grants facilitate short-term research stays or attendance at practical courses relevant to ongoing projects in Europe or overseas. 
• The program encourages junior scientists to acquire new methods through practical courses or laboratory experiences. 
• The expenses cover travel, lodging, and course fees, but not living expenses, local travel, visa, or insurance. For those from low-income countries, additional funds for living costs may be granted. 
• Eligible applicants include Ph.D. students, medical students during their doctoral thesis, postdocs, and graduates applying for a Ph.D. project abroad. 
• Travel grants are directed at European citizens working in Europe and overseas, as well as non-European citizens conducting projects in Europe or planning to work in Europe.
• The grants are intended for junior scientists based on the time of receiving their university entrance qualification , with specific criteria for Ph.D. students, graduates, and postdocs. 
• The grants exclude stays of more than three months , conference attendance without practical training, clinical electives, and certain types of research. 
• The application process involves an online application form and PDF uploads, including details about the research project, publications, examination certificates, letters of acceptance and recommendation, and evidence of expenses.

Essentials To Take Care of While Traveling Abroad

• Always carry your passport and cash along with you. Do not leave in the hotel room.
• Never hand your passport to any unauthorized person except immigration officers at the Airport
• If you are changing two or more flights from different airlines, then always make sure at the airline counter that your baggage is checked in. In many chances, they may miss your baggage in transit airport and you’ll have to struggle for a day or two.
• Do not exchange foreign currency from airports or nearby places or Thomas Cook.
• Always take it beforehand from SBI or other banks or else you will lose a lot of money in exchange. (I got IGCAR advance money just a few minutes before departure and exchanged it at Chennai airport resulting in a loss of nearly Rs.2000)
• Better to carry a map of the city/locality and also routes. A language dictionary is necessary if you are going to a non-English country]
• You can avail of the international roaming facility on your mobile (Airtel, Vodafone) if you are staying there for a longer time. Incoming will be free to you and it will be a local call tariff to the caller (See the respective website)
• Keep all original bills of expenses met during the travel

Visa and Immigration

• Check the website and enquire with the Visa issuing authority like Embassy or VFS on which Visa you require – student or tourist, etc.
• Some countries require travel insurance, health certificates, etc.
• Also, take note of things not to be carried out in the country

On the flight and at the Airport

• Most agencies require you to travel only by Air-India flights. If the destination is not connected by Air India then you have to take an Air India flight to the nearest place and take some other airline to the conference city or nearest airport
• Keep the toll-free phone number of your airline for emergency
• You can book your ticket with the travel agency without giving money. Only if you confirm it, then you have to pay. (you may not get the tickets by the time you get permission from DAE and travel grants from other agencies)
• Always keep one set of dress in your hand baggage – it will be highly useful if your baggage is delayed
• By chance, if your baggage is delayed/missed write a complaint along with your hotel address at the airline counter in the airport and demand compensation. They will give some cash and later they will also deliver the baggage at your hotel (My baggage was delayed during transit and I spent my pocket money to buy a dress in Australia – I did not know about compensation then)
• Do not carry any liquids in hand baggage – water, perfume, etc. during flight travel.
• Carry light and good baggage. If your bag/handle tears in handling or it is very heavy it leads to fines.
• You can ask for second-time food/drinks on flights – they won’t mind

Conference/symposium

• Carry a laptop if you have one. Most conference venues and airports have wireless internet facilities or internet ports. Also, you can make a short presentation if you are explaining your work to someone
• Better to carry your CV, published papers, and visiting card
• You are the official representative of your University /Centre and our country at the conference - Always remember that

• Applicant should be an active Indian researcher engaged in R&D work in recognized academic institutions or research laboratories in India.
• The applicant should have an invitation for presenting an original scientific paper. Similar invitation is required in the case of young scientists attending training programmes such as short term courses, summer/winter schools, workshop etc.
• The applicant should not have availed financial assistance under this Scheme during the last three years.
• The scientific event should be of an international character. Invitation of personal nature such as for carrying out post-doctoral work, informal training programmes/courses, internship, observer-ship etc. will not be eligible for support.
• Applicant must have obtained Master's degree in Science or Bachelor's degree in professional courses from a recognized University by the time of submission of application.

• Travel grant should be used only for attending the scientific event for which the SERB accorded its approval.
• The Institute/Applicant should submit the claim bills, and other necessary documents within 90 days of the last day of the event.
• The host institute/Applicant shall ensure that the fund released is used exclusively and appropriately for which it has been sanctioned.
• If the applicant to whom the travel grant has been awarded leaves the institution, the Institute and the applicant should inform SERB immediately, and the grant released, if any, should be refunded back by the Institute to SERB immediately by means of DD drawn in favour of "Fund for Science and Engineering Research".
• If the results of research are to be legally protected, the results should not be presented in international fora without action being taken to secure legal protection for the research results.
• If any candidate found to have furnished incorrect / misleading information at any stage, his/her candidature will be cancelled and no reimbursement will be made. The candidate will also be debarred for next three years for availing support under this scheme.

For successful online submission of the application the following points may be noted:

• Applicant(s) should first register into the online website  click here to register
• After log-in, kindly go to Menu --> Proposal Submission --> Form Submission --> Select scheme and start filling the form online.
• The researchers are required to apply online through the portal between 60-90 days in advance prior to the start date of the event. The system will not accept early or late submission of applications.
• Application submitted through any other mode will not be considered.

Q1: I was awarded Travel Support to attend an International Conference held in Washington. But, I could not attend the conference due to a delay in getting Visa. Can I use the above support to attend another conference to be held in July 2017?

A1: No. The support given to one event cannot be used to attend another. The Applicant should apply fresh to seek support for another event.

Q2: Do I need to A) book my air tickets with Air India only or any other specific airline and B) Who will provide the certificate for "Lowest Available Fare"?

A2A: There is no specific airline that needs to be preferred while making your travel reservations. The air tickets are to be booked in economy class at "Lowest Available Fare" on the date of booking. The tickets need to be purchased from any of the two authorized agents viz. i) M/s Balmer Lawrie & Company Limited (BLCL) and ii) M/s Ashoka Travels and Tours(ATT). Bookings through any other agency will not be considered for reimbursement. A2B: While booking your air tickets from any of the two authorized agents viz. i) M/s Balmer Lawrie & Company Limited (BLCL) and ii) M/s Ashoka Travels and Tours (ATT), request them to provide the required certificate.

Q3: What precautions should I take while booking the tickets?

A3: It is advised to book the air tickets only after the issuance of the visa and to keep the validity dates of the visa to avoid deboarding at the airport due to visa validity issues. Visa should be valid on the date when you are boarding the flight. Please make sure that you have a transit visa or other valid documents while booking the tickets and make sure to book tickets at the lowest available fare at the time of booking.

Q4: I have availed of travel support earlier under this scheme and the three years have not been completed (one month is left) yet. I want to apply for another conference now. Am I eligible?

A4: No. You should have completed three years. The duration of three years will be counted from the date of start of the last conference to the date of start of the conference which you intend to apply now.

Q5: What are the criteria for awarding travel support?

A5: The SERB receives a large number of applications. The selection is made based on many parameters. The most important of them is the track record of the applicant as evidenced by the list of publications in SCI journals during the last 5 years and also the importance of the conference. The Committee tries to accommodate candidates from different institutions and different categories (young researchers, women and senior researchers) within the available resources.

A6: No. The scientific event should have an international character. Invitation of personal nature such as carrying out post-doctoral work, informal training programmes/courses, internship, observer-ship etc. will not be eligible for support.

Q7: I have been awarded travel support to attend an international conference in London. I plan to spend 2 months in the laboratory of a Professor at Cambridge University immediately after the conference is over. Can I use the travel support to further my research at Cambridge University?

A7: You can use the travel support to hone your research skills at Cambridge University. But you should indicate the plan while seeking the support and should return and settle the travel bill within 90 days of the last date of the event. SERB will reimburse economy class airfare to London and back home only.

Q8: I have been recommended to attend a conference in Chicago, USA from 20-25 May 2017. I have also been invited to attend a 4- day training program in New York before the event in Chicago. Can I also attend the training program in New York and then go to Chicago? Will SERB reimburse the airfare from New York to Chicago?

A8: No. SERB will not reimburse the airfare from Chicago - New York. SERB will only reimburse the economy class airfare by the shortest route to Chicago and back.

Q9: I have been recommended for travel support to attend a conference in Sydney (Australia) from 20-25 June 2017. After the conference is over, a five-day short-term school is scheduled at the same venue. The organizers are charging a separate registration fee for the school. Will SERB provide registration fees for both events?

A9: No. You will be provided with a registration fee for that event recommended by SERB.

Q10: My conference is in Toronto, Canada on 15-18 May 2017. I am already in Vancouver (Canada). I plan to travel from Vancouver to Toronto and then come back to India. Will my airfare be reimbursed?

Q11: My conference starts on June 5, 2017, and I have booked my tickets accordingly. Now I want to reschedule my journey and Airlines are asking for additional charges for rescheduling the tickets. Will SERB provide additional charges?

A11: No. SERB will not provide any kind of additional charges paid by you for cancellation or rescheduling. Also, additional baggage charges collected by the airlines will not be considered for reimbursement. It is advised to book the tickets in advance to avoid escalation in the cost of airfare.

Q12: What, if I have provided incorrect/misleading information?

A12: Application will be cancelled and given support will be withdrawn at any stage and no reimbursement will be made. The candidate will also be debarred for the next three years for availing of support under this scheme. No correspondence will be entertained in this matter. SERB has all the rights to take any action in consultation with the applicant's parent organization/university/institute etc.

Q13: Can I submit my travel claim for reimbursement anytime?

A13: No. You should submit a travel claim (through an online portal and hardcopies of original bills, lowest fare certificate and boarding passes) within 90 days of the last date of the event. Otherwise, your travel claim will not be reimbursed.

Q14: Can I submit my application for travel support and further my travel claim offline?

A14: No. SERB accepts applications for travel support and travel claims through an online portal only. Additionally, SERB requires hard copies of original boarding passes, visa fee receipt, lowest fare certificate and other bills along with a printout of your online travel claim sheet.

Q15: I have been recommended for travel support to attend a conference abroad but due to some reason, I could not attend the conference. Will SERB reimburse my visa fee?

A15: No. Reimbursement of visa fees is subject to attending the conference.

Q16: Does SERB reimburse taxi fare, agent fee, and excess baggage charges?

A16: No. SERB does not reimburse taxi fares and excess baggage charges. In the case of agent fees, SERB reimburses government recognized travel agents fees and VFS charges as applicable.

Q17: As a young researcher, can I get the entire registration fee including abstract submission/dinner, tour, accommodation etc.?

A17: No. The primary registration fee as per actual or Rs. 50,000/- whichever is less (excluding group meetings fee, abstract submission fee, gala/reception dinner, accommodation, tour etc.) will only be reimbursed.

Q18: Does SERB provide support to researchers to attend conferences within India?

A18: No, this scheme is to provide support to attend conferences and workshops outside India and anywhere in the world.

Q19: My event was postponed due to travel restrictions; Can I use the grant for later dates to attend the same event?

A19: No, the grant can only be used for the approved dates based on your application.
