Q: Which trips can be cancelled via My Trips?

Hotel bookings that were made via myCWT can be cancelled via My Trips. The cancellation button should be displayed within each hotel item.  In the event the cancellation button does not appear within the hotel booking or is greyed out, it could be due to several reasons:

The hotel booking was done offline either by a CWT travel counselor or via an OBT and a PNR was created. In this case, we suggest cancelling the booking either by phone with a CWT travel counselor or through the OBT.

Flight bookings can also be cancelled via My Trips within myCWT mobile * (not web). Bookings can be cancelled before or after the ticket has been issued, regardless of the booking channel (myCWT, OBT or via your CWT travel counselor). The ‘cancel reservation’ button appears at the bottom of the flight screen. Please refer to the bottom of this article for step by step instructions.

The below types of flight bookings cannot be cancelled on myCWT mobile. They should be cancelled in the same manner they were booked as a cancellation button will not be displayed within the trip.

Flight(s) + any other product in the same booking (hotel, car or rail)

Rail tickets

 Flights of low cost carriers

Car reservations

Note, there is a distinction between cancelling and deleting a trip within the Online Itinerary. Deleting the trip will remove the booked items from the itinerary view, however, bookings will remain valid. Note this is only possible via the mobile app. Once deleting the item/trip, it will not be visible in the web view.

* Not applicable in Latin America or Asia Pacific.

Q: How long after cancellation of the trip is it still visible under “My Trips”?

A : The cancellation should take place in a matter of moments, however, if 24 hours later the trip still appears, it is recommended to cancel again.

Q: I have several upcoming trips already booked, however I cannot see them.

A : Trips that were booked directly through myCWT should appear in the itinerary right away.

If you have booked a trip and it does not appear within the itinerary, this may occur only when booking offline either via a CWT travel agent or using an OBT. Along booking through that channel, connection issues may occur which will prevent the PNR from being sent to our server and will result in not displaying the trip in the itinerary.

Before making another booking, please refresh the page and wait a few minutes. If you receive an email itinerary confirmation, the first booking was successful.

sato travel refund

Q: Is there a difference between PNR cancellation and Email confirmations that are sent to [email protected] ?

A : As opposed to PNR generated trips, email confirmations that are sent to [email protected] cannot be cancelled as most email formats do not contain enough data for our servers to understand there was a cancellation.

** Please note:

If the trip combines both PNRs and email confirmations, deleting the trip would not suffice as the PNR generated bookings will still be valid. Before deleting the trip manually, it is necessary to cancel the PNR generated items in the same way they were booked, whether it is through the application or offline via CWT travel counselor or OBT.

Q: In which scenario will the cancelled trip still be visible under “My Trips”?

A: A cancelled trip should not be displayed within “My Trips”. In the event that it does, it may occur due to a synchronization issue between databases that caused the cancellation to fall through, therefor trip still appears in the itinerary. In this case we suggest trying to cancel again or contact your respective CWT technical assistance team.

Q: How can I be sure that the booking via Hotel Express was actually made if I have not received the email confirmation?

A: If a booking had been made, however a confirmation email was not received and the trip is not displayed within “My Trips”, the booking may have not been completed.

This could be due to synchronization issues. in the event this scenario should occur, please contact your respective CWT technical assistance team.

Please note that if another booking attempt had been made within the same hotel booking flow, an error message will be displayed explaining a booking had already been made.

Q: How do I cancel a hotel booking via “My Trips”?

A :  In order to cancel the hotel booking via myCWT web, follow these instructions:

Go into “My Trips” and choose the trip you wish to cancel.

Click on the hotel item, then on “More details” to open the card.

Click on the bottom right on “Cancel reservation”.

You will be asked to check your cancellation policy before cancelling entirely.

OVERALL A GREAT IMPROVEMENT FOR GOVERNMENT TRAVEL

The use of this app is overall very helpful. It needs work, though. The password issue is significant, especially you log in while in transit because you flight has been delayed or canceled, to find a prompt to update your password. This is the last thing anyone should have to deal with while in transit. If my connection has been canceled, please allow me the option to pick my alternate flight. Not just automatically re-route to nearest airport. This caused so many more issues. Last, just an opinion. Personnel on official travel are on uncle sam’s dime. Uncle Sam being the American tax payer. We’re always scrutinizing how to appropriately allocate every dime. But it’s absolutely ok to strand 20 active duty personnel in Chicago (for example). Lodging rate $218 a day. Per diem $75 a day, or combined $293 a person per day. That’s over $5800 a day being wasted. There has to be a way of coding personnel on official travel as priority. Oh, and as a closing statement, to benefit of the government. Maybe review airports and figure which ones have issues, like Chicago O’Hare (ORD) and avoid those airports as much as possible. To answer you question, Yes, I’ve been stuck in Chicago more than once for several hours. This most recent adventure, all of our connecting flights were canceled. Now stranded in Chicago for day 2.

Very helpful, except frequent auto log out

Overall the app is great and very helpful. The improvements are very noticeable. The links to the websites are very helpful. The airport maps are useful. The only issue I have with the app is how frequently it logs you out and then you have to go through the whole process of logging back in. When I need to access stuff quickly it’s annoying and doesn’t help when you have bags in your hands trying to juggle the phone and get logged in again just because you close the screen. A feature to add tickets to your digital wallet would be helpful for checking in.

Complete waste of time

I just spent 30 minutes logging in. 30 minutes! I have an account, but forgot the password. So I changed it using the process. It didn’t work. It said it took the new password, but the new password would not work. I believe I tried to change it to one of my past 10 passwords ( HELLO! I’m changing the password because I forgot it, so how am I supposed to know my last 10 passwords in order to choose something different?). It said the password was changed successfully, but it was not. When I finally tried something completely different, it worked right away. At which point I found out that my CWT account is actually under an old email, because the account says I have no travel. So I repeat the process for the old email address. After all this, the app just directs me to the airline’s web site to make a flight change. I needed to change airlines. Thanks for nothing CWTSato. I will be using the individual airline apps from here on out.
