Everything Your Tour Guide Wants You to Know Before You Travel

i'm your tour guide

So you’ve booked your trip, taken leave from work and saving hard for your next trip of a lifetime. It’s around this time you’ll start to have many questions about what happens on tour.

Travel to: Europe

During my nine years on the road as a tour guide in Europe, the most important part of any adventure is being prepared, and I have come to believe that having realistic expectations about your trip is one of the most important things you can do to ensure an amazing experience. But how do you know what to expect when it’s your first time on tour?

To help keep your mind at ease, these are the most popular questions that almost every single passenger would ask me on day one of every tour. So, to save you the concern or queries, this is your complete guide featuring everything your tour guide wants you to know before you travel.

Are you ready for a touring adventure of a lifetime?

What happens if I miss the coach?

People who are generally punctual should never be concerned about missing the coach and it’s important to understand that passengers are never left behind, but sometimes a passenger misses the coach. The truth is, the needs of the many, outweigh the needs of the few and if you’re a punctual person, I’m sure you agree.

If it’s just a trip back to the hotel, simply make your own way via public transit or taxi. If neither are available, ask for help from a local. In the very worst case if you miss a journey from one city to the next, ask the hotel reception for assistance as to how to make your way to meet with the group and contact your tour guide or the tour company to let them know your plans – they’ll be worried about you!

Tip: Set your watch forward by 5 or 10 minutes – it’s much harder to be late this way!

Will I have my tour guide’s phone number?

Some tour companies have a policy that their tour guide must provide a phone number for their guests, but not all of them do. Sometimes, it is also up to the individual tour guide. What we can recommend, is you keep your hotel list with you which is usually provided with your travel documents, or upon joining the tour.

The hotel’s phone number is the best way to get in touch with your tour guide if you find yourself stuck, or you can also call the operator’s emergency phone number or your booking agent in case of emergency.

How do I know where to meet my group at the start of my tour?

This information is shared either on your tour voucher or trip notes. It’s usually in the hotel lobby at 9 am, but if you don’t have this information in your tour documentation, ask at reception upon arrival as your tour guide will usually post a notice in the foyer or leave a note for you at the reception. Also, look out for other travellers also wandering around looking kind of lost because they’re probably going to be joining your tour.

When should I arrive in the city where my tour starts?

Some tours begin in the morning, but many will start in the evening. If the tour begins in the morning, you should arrive the day before and stay overnight in, or nearby the tour hotel. If your tour begins in the evening, you can comfortably arrive on the same day – just check the itinerary first.

It’s best to look for a flight which arrives around midday, as by the time you get to the hotel, you should be able to check in and most hotels worldwide, will allow check-in around 2 pm. If you arrive earlier and want to explore the city on your own, most hotels will allow their guests to store luggage at the hotel before check-in. If in doubt, just ask.

How will I find my way around in my free time? What if I get lost?

Navigating a foreign city on your own can be daunting, but often results in some of your best travel stories. You have many options to find your way around, including city maps (available at most hotel receptions and tourist info centres for free if not provided by your tour guide), guidebooks, metro maps (found in metro stations) and good old Google maps.

If you don’t have data on your phone, you’ll be happy to know many destinations offer numerous cafes, bars and other public spaces with free Wi-Fi where you can download an offline map. It’s also a good trick to ‘star’ or favourite your hotel, or the coach meeting point and time on your map wither it’s digital, or on paper.

Also, ask for directions. Locals are often very friendly, so even if you don’t speak the language and they don’t speak yours, pointing to a place on the map is a universal language. If you speak English, you’ll probably be pleasantly surprised as to how many people in popular destinations are able to speak a little too if you need it. Simply ask your waiter or a shopkeeper and you’ll be on your way in no time!

Something people also tend to forget, is there are taxis everywhere. If you need to get to the meeting point in a hurry and it’s a bit too far to walk, or you want to head back to the hotel and have had enough of public transit, jump in a taxi and show the driver your map.

What about laundry?

Depending on the length of your trip, I would always recommend avoiding needing to do laundry while on tour. For small, light items, you might like to hand-wash them during a 2 night stop, or perhaps your hotel has a laundry service, which although usually expensive, is a 24-hour turn-around and very convenient.

Your tour guide may be able to direct you to a laundromat if there is one nearby, but who wants to spend their vacation doing laundry?

Should I bring cash or cards?

Cash machines are easily found in most locations but check first, what fees your bank is charging you for withdrawals or purchases. It’s always a good idea to have some cash on you, but less is better! Best to check out travel card options where you can withdraw when you want in the local currency

What sort of people will be on the trip?

Lovers of travel, just like you! Some tour groups are open age, others are restricted, for example to youth travel aged 18-39 or exclusively for families with children. Tours are sold globally, so you’ll usually have a good mix of nationalities on your tour, but you’ve likely booked an English language tour, so you’ll probably find the majority of your group come from countries where English is the native language. Tours are popular with solo travellers, but also with groups of friends and also couples.

What if I have particular dietary requirements?

Communication is the key when it comes to anything you need while on tour and dietary requirements are no exception. Your booking agent will communicate to the tour operator, any information you’ve outlined at the time of booking so your tour guide should already be aware of your request.

Nonetheless, it’s always best to touch base again with your tour guide on day one when you join the tour. Requirements such as gluten-free, no red meat and vegan are all very common requests and can be easily catered for in most destinations. You can download multi-lingual cards on the internet which you print and keep in your wallet in order to overcome language barriers when you are eating at your restaurant of choice on free nights.

It’s important to note though, dietary requirements are exactly that – restrictions on your diet for health, or religious reasons, covering intolerances, allergies and omissions. Tour guides are generally unable to cater for simple food dislikes.

What does my tour guide do?

In many destinations these days, in order to walk around a city, explaining monuments to a group, you must be licensed for that particular destination. Many tour operators have a tour guide and driver who facilitate the tour, but your tour guide is different from a local guide. Knowledge and experience will vary from one tour guide to the next, but generally speaking, your tour guide is there to coordinate your tour and to help you enjoy your trip.

Do I need to advise if I have a medical condition?

While your health is somewhat of a personal issue, it’s important your tour guide is aware of any pre-existing medical conditions that might affect your trip. This puts them in the best situation to offer advice or direction should you need medical assistance while on tour, or seek out help in case of emergency.

How much time will I spend on the coach?

Naturally, this depends on your itinerary. If you’re curious, you can search the distances on Google maps before your trip which will ensure you’re closer to accurate expectations, but the mere distance you travel is not the only thing to consider when estimating driving times. How long you’re on the coach will also depend on the types of roads you’re on (highways or B roads) and unforeseen circumstances like poor weather or traffic.

Always overestimate when setting your expectations for drive times! In general though, on a typical driving day, you’ll set off from the hotel around 8 am or 9 am and arrive at your destination around 5 pm to check into your hotel. You’ll stop en route for comfort stops every 2-4 hours for a bathroom or food break, and on some days, stop to visit points of interest along the way too.

Is there a toilet on the coach?

Larger coaches are usually equipped with a toilet, but they are generally not the most pleasant of places to go! Your tour driver and tour guide will be making regular stops, so you can always ask how far you are from the next break before you make any decisions!

Are my belongings safe on the coach?

Tour drivers are very proud people and a good driver treats his coach like one of his own offspring. While coaches are always locked while unattended, just like cars, they can be broken into, unfortunately, so it’s not recommended you leave valuables in there for extended periods. If you do choose to do so, you do at your own risk.

What’s included on my tour?

This information is outlined in your trip notes and also online. It’s important you’re familiar with the inclusions so as not to be surprised while on your tour. Typically, on many group tours, all accommodation and tour transport is included, along with some sightseeing, plus your breakfasts and some evening meals, but lunches are rarely included.

Premium tours may also include certain experiences like a cooking class or performance, but no tour is the same as the next, so it’s always best to familiarise yourself with your particular tour inclusions before setting off. Museum entry fees, shopping, food and drink, plus things like taxi fares, should you choose to do your own thing in a city, will be at your own expense.

I am travelling solo and booked twin share, who will I share my room with?

Most tour companies who offer for solo travellers to be paired with another traveller will pair you with someone of the same gender. The pairing of solo travellers is usually done at random, so remember, communication is important. If for any reason, you are unhappy with your roommate, the best thing to do is to speak confidently with your tour guide. There may or may not be a possibility to swap with someone else, or you may be given the option to pay for a solo room upgrade where available.

It’s important to note that some tours which offer accommodation in multi-bed dorm rooms will offer only mixed gender accommodation.

What should I pack?

Aside from the essentials, like comfortable walking shoes and suitable clothes for the season you’re travelling in, you might also want to pack some smart casual evening wear. My absolute essentials are a phone, phone charger, adapter and wallet and I always double and triple check for my passport. It’s not a bad idea to photocopy your passport and leave a copy in your suitcase, and it’s also wise to have duplicate bank cards, which you should also leave in your suitcase.

It’s also a good idea to wear a watch as you’ll have many meeting times on a tour and also a pen for marking your map. Remember too, that many things like clothes and toiletries can be bought in-destination if you’ve forgotten them, (many better hotels also offer basic toiletries at reception), but if there’s anything you need to buy, your tour guide can tell you where to find them.

Tip: When packing, less is more! Your luggage will be easier to manoeuvre and you’ll have more room for things you’ve bought.

Do I have to tip my tour guide and driver?

A gratuity or tip, is, by definition, your choice as a traveller and while unusual in some cultures, it’s common practice in many cultures and within the tourism world. Usually, the tipping etiquette for your particular tour will be covered in your tour documentation, but it’s always up to you. Giving a tip is an opportunity to express gratitude to your tour guide and driver for a job well done.

A final word: as told by a tour guide

Travel truly is a delight for the senses. Taking in new sights, sounds, foreign cultures and foods day in, day out is always going to be a step away from your day to day back home and often makes for a good night sleep at the end of the day. Take the time to slow down while on tour, to stop for a coffee and watch the world go by and to take a breather. Drink water too, active people need nourishment!

Most of all, be open-minded and considerate of others. It’s impossible that everything always goes to plan, but this is the joy of not only travel but life too and where the best stories come from! Be patient and teach yourself how to say ‘oh well’ when things are not within your control. After all, holidays are for relaxing!

GetYourGuide Review [2024]: When to Use & When to Avoid It

My in-depth GetYourGuide review, including whether or not their tours are worth it.

Tours can make or break your vacation. I know it does for me. That’s why it’s essential to know if the guided tour you’re going on is good.

GetYourGuide is one of my go-to tour booking sites because of its easy booking process and reliability.

GetYourGuide works with local guides to give you the best experience possible without taking advantage of the community you’re visiting.

I’ve often used GetYourGuide in places like Europe and the United States. I did my travel planning quickly because of the many tours and activities available.

Read my GetYourGuide review and add another tool to your toolbox when planning the vacation of a lifetime.

Note: this article contains affiliate links, which help run this site at no extra cost to you so I can keep providing free travel advice and tips.

What is GetYourGuide?

A screenshot of the GetYourGuide website 'about' page, which displays. a photo of a woman kayaking.

GetYourGuide is an online tour operator that organizes activities with local travel companies.

You can purchase everything from skip-the-line tickets to a private tour to guided hikes.

GetYourGuide began when a handful of classmates started the website in 2009. They were determined to change the travel game forever.

The idea originated from a trip that Johannes and Tao–two of the founders–took to Beijing.

Johannes arrived a day early, and Tao wasn’t there to show him around.

The two friends recognized a universal issue: Travelers arrive at new dream destinations but don’t know where to begin.

I like GetYourGuide because their website makes it easier for me to start planning a trip.

By searching through their database, I can find everything from unique tours to the top tours and activities worldwide.

How Does GetYourGuide Work?

A screenshot of the 'Cultural Experiences' page on the GetYourGuide website.

Search Desired Location

Most travelers use Get Your Guide to search for guides at their predetermined destination.

In this case, it’s easy to type in the desired location at the top of the Get Your Guide web page.

Several tours pop up after searching for the destination.

Tours with the highest reviews rank highest. From here, I use the filter options that Get Your Guide offers.

If I can’t find a tour from the main search, I select filters like:

  • For first-time visitors
  • Landmarks & monuments
  • Entry tickets
  • Family-friendly activities
  • Culture & History

  • Viewing points

I often find opportunities I hadn’t thought of, like sandboarding or kayaking through caves.

Choose Your Ideal Tour

Choosing the ideal tour can be difficult, especially with so many options. Keep in mind that the Best-Seller certificate indicates the highest quality tours.

Read the tour description thoroughly, as that’ll give you a clear understanding of what the tour offers.

After finding the perfect tour, fill out the information like name, email, and credit card details.

I could pay for my tour with PayPal, Google Pay, Apple Pay, or a credit card. And there aren’t any hidden fees or booking fees when you book tickets on GetYourGuide.

Once the payment is complete, you’ll receive a confirmation email with all the details for your tour.

That’s it! Booking your own guided tour is that easy.

Pro tip: Visit the promo code webpage and enter your email to receive a one-time GetYourGuide promo code. The code gives 10% off on some tours.

Meet Your Tour Guide at the Specified Location

After purchasing my tour, I received an email stating the meeting point to join the tour company.

Sometimes, the tour operators ask for the local address of your hotel, Airbnb, or hostel.

When I visited Rainbow Mountain in Peru, we sent them our local address and photos of our passports.

Some tour guides offer to pick you up, and others specify a meeting place (or multiple meeting points).

Booking tours through GetYourGuide is simple, but sometimes, the local agency is unclear about the meeting point.

I suggest contacting the tour provider if you’re unsure about the meeting point.

GetYourGuide Review: My Experience With Using GetYourGuide

A hand holds an iPhone, looking at the GetYourGuide app, with a soft-focus living room in the background.

Public and Private Tours

Most activities through GetYourGuide are public, but there are some private tours.

I prefer booking a private tour when I know I want to be in a small group.

For me, activities in nature–like guided hikes–are more peaceful in smaller groups.

I use the filters to narrow my search to private tours by clicking See More Categories, then Private Tours.

Using the filters on the Get Your Guide website cuts my results in half, sometimes more. From there, it’s easier to find tickets.

Day Trips and Multi-day Trips

Most of the tours I find through Get Your Guide are day trips. Still, there are tons of shorter or longer experiences.

While researching Peru, I used the Duration filter to see 12 pages of cooking classes, sunset excursions, and viewpoint tickets.

The shorter guided experiences help enrich long days. While planning a day trip, I’ll check out the city tours and popular activities.

Get Your Guide also offers multi-day trips, like the Salkantay Trek in Peru. I wanted to do this hike, but it was a significant investment.

While I’m sure that booking multi-day trips through Get Your Guide is fine, my travel companions and I still felt more comfortable booking extensive tours with local companies in town.

Plus, I’ve learned that I can usually save money by booking locally because of the currency exchange.

Self-Guided Tours

GetYourGuide also offers self-guided tours that you can download onto your phone and listen to at any time.

These tours come in audio and visual form. I haven’t purchased any of the self-guided tours yet, but I’ve noticed a few things.

On the GetYourGuide website, I suggest searching for “audio tour [location name]” instead of “self-guided tour.” They’re listed as “Other Experience,” which meant I had to click on the tours to check that they were in fact, audio or visual tours.

I actually found it just as productive to Google phrases like “GetYourGuide audio tour Italy.”

It’s also inconvenient to download the tours since they aren’t all housed on the official GetYourGuide app. The tours are created by different agencies that have their own apps.

You’ll download the app ahead of time and then receive a link to access the tour. Most tours can be refunded as long as they’re “returned” ahead of time and not activated.

Despite being clunky, I did find a lot of unique tours. My favorites were the Paris History of Crime Tour and a complete package of US National Park tours .

Transportation through GetYourGuide

Not all travel booking sites offer transportation services. Get Your Guide works with local drivers to pick you up from your accommodation and take you to the airport.

Airport shuttles are available with a one-way or round-trip ticket.

I first started looking into transportation services through the GetYourGuide website because I’m planning a trip to Mendoza, Argentina.

Booking a ride this way is surprisingly convenient and cheap, even for budget travelers.

Tickets to Attractions through GetYourGuide

Get Your Guide is the perfect platform to use for European sightseeing.

For example, Florence is one of the most popular places in the world to travel to and one of my favorite cities.

Florence is chock-full of sightseeing, and it’s easy to book tours through Get Your Guide.

Just like filtering for specific durations, I filter based on my interests.

The homepage of Get Your Guide has four main categories: Sports, Culture, Food, and Nature.

You can manually select more specific activities by typing them into the search bar or choosing the “Filters” button once you decide on a travel destination.

I love these features because booking an architecture-focused day trip to Pisa one day and a walking tour of Siena the next was easy.

The advantage of touring with a local provider is that they know the ins and outs of their city.

GetYourGuide App

I love booking tickets directly on the app when on a long bus ride or in the car.

When I find tours and activities, I can save them to my wishlist.

Then, I’ll book tours on the guide app or my computer once I return to my Airbnb .

I stay logged into my GetYourGuide account on the website and the app. This way, my wishlist is available on my phone and computer.

Finding the same tour and tour operators on either device is a matter of clicks.

Plus, anytime I have a travel-related conversation, it’s easy to open my phone and bring up some of my top bucket list activities.

DOWNLOAD THE GETYOURGUIDE APP HERE:

Skip the Line Tickets

Sometimes, I’m not feeling a tour, but there’s still a sight I need to see. Skip-the-line tickets are the perfect way to see a popular attraction without waiting long.

The line to see Michelangelo’s David is horrible, but buying my entrance ticket beforehand means more time to explore the city. . . and more time to enjoy wine in the evening.

Unfortunately, sometimes there’s a booking fee for these sorts of tickets.

But sometimes it’s worth the extra booking fees to receive the ticket before others.

Price Guarantee

GetYourGuide offers a price guarantee , which ensures you won’t pay more on their official site than you would through other tour companies.

One time, I booked a tour in Italy and found the same activity for cheaper elsewhere. I contacted Get Your Guide, and they paid the difference!

Before you do this, make sure each tour includes the same things. It pays to compare prices!

Easy to Use

More than anything else, I love the easy interface of GetYourGuid’s website and app. They take what can be a confusing process and make it simple.

GetYourGuide makes finding activities that everyone will enjoy simple, and I can buy tickets within seconds.

Other travel booking sites don’t always make this process easy. I respect GetYourGuide for prioritizing that.

Great Cancellation Policy

I may be jumping ahead here, but it must be said. GetYourGuide has a worry-free cancellation policy .

I’ll go into more detail later, but the most crucial feature is free cancellation within 24 hours of the tours and activities.

Large Selection of Tours in Popular Destinations

If GetYourGuide didn’t have a large selection of tours, we might not have had this conversation.

But there are many different tours in places like North America, Europe, and Australia.

It’s also nice knowing that local companies are getting paid, too, and it’s not bad for the local economy.

Other travelers will agree that it’s fun daydreaming about travel by looking up tours with a local company.

A computer monitor sits on a white desk, displaying the GetYourGuide website homepage with experiences for San Francisco.

Very Few Tours in Some Parts of the World

It’s a bummer that GetYourGuide doesn’t have as many tours in South America and Central America.

I love the rugged travel style of these places, but sometimes I want to do a couple of tours before setting out on the less-trodden path.

GetYourGuide offers tours to trendy places like Machu Picchu. It skips some of the less flashy destinations, like tours around a town or small hikes.

One of my favorite Central American countries, Guatemala, has very few tours to choose from. I was there for two months and never opened the app.

Not Many Nature Tours

Now, this is changing for the better, but I want more adventure activities to choose between.

Sometimes, when I go to a new city, I want to see what the suburbs are like and what adventures await outside the city limits.

Simple tours of little-known locations aren’t as popular because many tourists visit to see the big attractions.

GetYourGuide Cancellation & Exchange Policy

A view of the shoulder of a man whose hands are typing on a keyboard in front of a computer monitor displaying the GetYourGuide website homepage.

Things come up that we have no control over. That’s why booking tours with a good cancellation policy is essential.

GetYourGuide offers free cancellation for their own tours and activities within 24 hours.

An issue arose while traveling through Europe, so I canceled one of our GetYourGuide tours. I received a full refund, no questions asked!

Be sure to read the fine print of every tour that you book. There could be different rules for each activity.

The cancelation process itself is easy. You go to the Help Center and follow the instructions for Cancellation. The form asks for your booking reference and pin.

There’s less risk when you buy tours that you can cancel so easily.

FAQs About GetYourGuide

A hand points to a spot on a globe sitting on a white desk in front of a computer monitor displaying the GetYourGuide website homepage

Is GetYourGuide legit?

GetYourGuide is legit and a great way to find some of the best activities worldwide!

Countries that don’t have many GetYourGuide options might seem less legit because of the lack of GetYourGuide reviews. I suggest finding activities with many good reviews.

Who is GetYourGuide owned by?

Four former classmates in Switzerland started and own GetYourGuide. Those four are Tao Tao, Martin Sieber, Johannes Reck & Tobias Rein.

Their goal was to create a platform where everyone could find the best activities worldwide, all in one place. Safe to say they achieved this.

Is GetYourGuide the same as Viator?

GetYourGuide is the same concept as Viator , but two different groups of people own them. TripAdvisor , the popular online travel forum company, owns Viator.

Which is better, Viator or GetYourGuide?

Viator and GetYourGuide are fantastic sites that help thousands of travelers find things to do in a specific destination. With that said, both of these are better for different areas.

Viator is better in the United States, while GetYourGuide has many activities in Canada/Europe.

What does “Certified by GetYourGuide” mean?

Choosing an activity with the golden “Certified by GetYourGuide” on the page means it’s a proven quality activity. When I book a tour with this, I have no worries.

If I have to choose between a tour with or without the golden certificate, I always choose the one with it.

The last thing I want to worry about on vacation is whether or not I booked a good tour.

Which countries should I use GetYourGuide in?

GetYourGuide is a good service for booking your tour in the most popular destinations worldwide.

I’ve had good luck with GetYourGuide in Europe, Canada, Dubai, Australia, and even many countries in Southeast Asia!

There are some spots you should keep your expectations low for.

Latin America is a part of the world that doesn’t have many activities available. Even so, I found quality activities with local guides in places like Cusco and Medellin.

Conclusion: So, is GetYourGuide worth it?

A hand holds an iPhone, looking at the GetYourGuide app, with a soft-focus living room in the background.

I always use GetYourGuide when researching things to do in a new location. This site is valuable and worth your time.

I think it’s the most reliable 3rd party tour site today. I love how they work with locals and aren’t trying to detract from the country’s economy.

If you’re going to Europe this summer, check out the GetYourGuide hotel pickup and all the necessary information for the best day.

I wish Latin American countries had more GetYourGuide opportunities, but I know that time is coming.

My experience with their guides, website, and customer service has been top-notch. Of course, though, just like every other company, you can find GetYourGuide complaints.

Planning the perfect trip is hard. GetYourGuide has opportunities for all of my fellow travelers. From multi-day activities to workshops/classes, GetYourGuide has it all.

Whenever I start my research for my next vacation, I go to GetYourGuide–and I think you should, too!

By possessing these requirements and qualifications, you will be well-prepared to embark on a successful career as a tour guide, delivering unforgettable experiences to your guests.

Researching and Planning

One of the most critical aspects of being a tour guide is the ability to research and plan captivating and well-organized tours. Your guests rely on you to provide them with a seamless and unforgettable experience. Here are some essential steps to follow when researching and planning your tours:

  • Destination Familiarization: Familiarize yourself with the destination you will be guiding in. Research its history, culture, attractions, and hidden gems. Get to know the local customs, traditions, and etiquettes to ensure a respectful and immersive experience for your guests.
  • Understanding Your Audience: Determine the demographics, interests, and preferences of your target audience. Will your guests be adventure enthusiasts, history buffs, or nature lovers? Tailor your tours accordingly to provide a personalized and engaging experience.
  • Selecting Key Sites and Activities: Identify the must-see sites and attractions in the destination. Consider both popular landmarks and off-the-beaten-path locations to provide a well-rounded experience. Research and select exciting activities and experiences that align with your guests’ interests.
  • Creating a Detailed Itinerary: Craft a detailed itinerary that outlines the day-to-day activities, including transportation, accommodations, meal options, and specific timeframes for each activity. Build in flexibility for unexpected changes or additional opportunities that may arise.
  • Ensuring Safety and Accessibility: Prioritize the safety and accessibility of your tours. Research hazard-prone areas, weather conditions, and any potential health risks. Account for the physical abilities and limitations of your guests, providing suitable alternatives or adjustments when necessary.
  • Engaging Guides and Experts: Connect with local guides or experts who can provide unique insights and enhance your guests’ experience. Collaborating with knowledgeable individuals adds depth and authenticity to your tours.
  • Considering Logistics and Timing: Pay attention to logistical aspects, such as transportation arrangements, ticket bookings, and crowd management. Plan your tours to avoid peak tourist seasons or crowded times to ensure a more enjoyable and comfortable experience for your guests.

Remember to continuously update your knowledge by staying informed about current events, new attractions, and changing regulations. Embrace feedback from previous tours to refine and improve your planning process. By conducting thorough research and careful planning, you can create tours that leave a lasting impression on your guests.

Creating Engaging Tours

As a tour guide, it is your responsibility to create engaging and immersive experiences for your guests. By curating tours that leave a lasting impression, you can ensure their satisfaction and increase the likelihood of them recommending your services. Here are some tips to help you create captivating and memorable tours:

  • Storytelling: Narrate captivating stories and anecdotes about the destination and its attractions. Make history come alive, add local legends, or share personal experiences to engage your guests emotionally and intellectually.
  • Interactive Experiences: Provide opportunities for your guests to actively participate and engage with the destination. Incorporate interactive elements like hands-on activities, tastings, or cultural demonstrations to create a deeper connection and understanding.
  • Sensory Experiences: Appeal to your guests’ senses by highlighting the sights, sounds, smells, tastes, and textures of the destination. Encourage them to fully immerse themselves in the local culture and environment.
  • Variety of Activities: Offer a variety of activities to cater to different interests and preferences. Whether it’s hiking, biking, exploring historical sites, or indulging in culinary delights, provide a diverse range of experiences to appeal to a broader audience.
  • Flexibility and Spontaneity: While it’s essential to have a well-structured itinerary, leave room for flexibility and spontaneity. Embrace unexpected opportunities or interests that arise during the tour and adapt your plans accordingly to provide a memorable and personalized experience.
  • Engaging with Locals: Encourage interactions between your guests and the local community. Arrange visits to local markets, workshops, or community initiatives where they can engage with locals, learn about their daily lives, and support local businesses.
  • Unveiling Hidden Gems: Go beyond the typical tourist hotspots and unveil hidden gems that showcase the destination’s unique charm and character. Whether it’s a secluded beach, a secret viewpoint, or a lesser-known historical site, surprise your guests with hidden treasures.
  • Share Insider Tips: Provide insider tips and recommendations to make your guests’ experience even more enriching. Share your favorite local restaurants, shops, or lesser-known trails, allowing them to discover the destination like a local.

Remember, the key to creating engaging tours is to cater to your guests’ interests, evoke their curiosity, and create a sense of wonder and excitement. By incorporating storytelling, interactive experiences, and a variety of activities, you can create tours that leave a lasting impact and keep your guests coming back for more unforgettable adventures.

Effective Communication Skills

As a tour guide, effective communication is the key to engaging and connecting with your guests. It allows you to share information, convey your passion for the destination, and create an enjoyable and informative experience. Here are some essential communication skills to master:

  • Clarity and Enunciation: Speak clearly and enunciate your words to ensure that your guests can understand you easily. Use simple language and avoid jargon or complex terminology that may be unfamiliar to your audience.
  • Active Listening: Practice active listening by giving your full attention to your guests. Encourage them to ask questions or share their thoughts and opinions and respond attentively. This helps create a positive and interactive atmosphere.
  • Body Language: Pay attention to your body language, as it can greatly impact how your message is received. Maintain an open and welcoming posture, use appropriate gestures, and make eye contact to establish a connection with your guests.
  • Use of Visuals and Props: Support your verbal communication with visual aids and props. Maps, photos, or physical objects can enhance understanding and make your explanations more engaging and memorable.
  • Adaptability: Adapt your communication style to suit the needs of your guests. Consider their language proficiency, cultural background, and any accessibility requirements. Ensure that everyone can fully engage and understand the information you are sharing.
  • Personalization: Tailor your communication to your audience by using personal anecdotes, addressing individuals by name, or referring to their interests. This personal touch creates a connection and makes the experience more memorable.
  • Storytelling Skills: Master the art of storytelling to captivate your guests’ attention. Use vivid descriptions, emotions, and suspense to bring the destination to life and create a memorable experience.
  • Engage with Humor: Incorporate humor into your communication to create a relaxed and enjoyable atmosphere. Light-hearted jokes or funny anecdotes can help break the ice, maintain interest, and foster a positive connection with your guests.

Remember to gauge your guests’ engagement and adjust your communication as needed. Ask for feedback and encourage them to share their thoughts and questions throughout the tour. By honing your communication skills, you can ensure a memorable and engaging experience for your guests, leaving them with a deeper appreciation for the destination and their time with you.

Building Rapport with Guests

Building a strong rapport with your guests is essential for creating a positive and memorable experience. When guests feel comfortable and connected with their tour guide, they are more likely to engage, ask questions, and fully embrace the journey. Here are some tips to help you build rapport with your guests:

  • Warm Welcome: Start the tour with a warm and friendly greeting. Make eye contact, smile, and introduce yourself to create a welcoming atmosphere from the very beginning.
  • Active Engagement: Engage with your guests throughout the tour by asking open-ended questions, encouraging their participation, and actively listening to their responses. This shows genuine interest and makes them feel valued.
  • Personalize the Experience: Take the time to learn your guests’ names and use them during interactions. Remember their interests or special occasions they may be celebrating. Personalizing the experience makes them feel special and acknowledged.
  • Share Personal Stories: Share personal anecdotes or experiences related to the destination or the tour activities. This creates a connection and allows guests to see you as not just a guide but also a fellow traveler.
  • Empathy and Emotional Intelligence: Show empathy by understanding and addressing your guests’ needs and concerns. Be attentive to their emotions and adapt your approach accordingly. This helps create a comfortable and supportive environment for open communication.
  • Respect Cultural Differences: Be mindful of the cultural diversity within your group. Respect different beliefs, customs, and values, and encourage guests to share their own cultural backgrounds to foster a sense of inclusivity and appreciation.
  • Be Approachable: Be approachable and accessible to your guests. Encourage them to ask questions, seek guidance, or share their thoughts and experiences. Showing a willingness to interact and help creates a welcoming and supportive environment.
  • Show Genuine Enthusiasm: Express your passion and enthusiasm for the destination and the tour activities. Your genuine excitement will be contagious and inspire guests to fully immerse themselves in the experience.
  • Flexibility and Adaptability: Remain flexible and adaptable to meet the individual needs and preferences of your guests. Be open to suggestions, adjust the pace if necessary, and accommodate reasonable requests to ensure their comfort and satisfaction.

Remember, building rapport requires genuine interest, active engagement, and a willingness to connect with your guests on a personal level. By establishing a strong rapport, you create a trusting and enjoyable atmosphere that enhances the overall tour experience for everyone involved.

Handling Difficult Situations

As a tour guide, it is essential to be prepared for and effectively handle difficult situations that may arise during your tours. Whether it’s a sudden change in weather, a medical emergency, or guest dissatisfaction, your ability to stay calm, proactive, and empathetic is crucial. Here are some tips for effectively handling difficult situations:

  • Remain Calm and Composed: Stay calm and composed, even in challenging situations. Your guests will look to you for guidance and reassurance, so maintaining a calm demeanor helps instill confidence and minimize panic.
  • Assess the Situation: Quickly assess the situation and prioritize the safety and well-being of your guests. Identify any immediate risks or concerns and take necessary steps to address them promptly.
  • Communicate Clearly: Effectively communicate with your guests, providing clear instructions and information about the situation at hand. Keep them informed of any changes, updates, or alternative plans, ensuring they feel informed and involved.
  • Show Empathy and Support: Display empathy and understanding towards your guests’ concerns or discomfort. Listen attentively, acknowledge their feelings, and address their needs to the best of your ability. Offer support and reassurance throughout the situation.
  • Follow Emergency Procedures: Familiarize yourself with emergency procedures and protocols specific to the destination or activity. This includes knowing the location of emergency services, medical facilities, and evacuation routes.
  • Seek Expert Advice if Needed: If the situation requires specialized knowledge or assistance, seek advice from local authorities, medical professionals, or relevant experts. Act promptly to ensure the safety and well-being of your guests.
  • Maintain Open Communication: Encourage guests to voice their concerns or questions openly. Listen attentively, respond empathetically, and address their concerns transparently. Open communication helps build trust and allows for timely resolution of issues.
  • Provide Alternative Options: In case of unexpected changes or disruptions, offer alternative options or activities to make up for any inconvenience. This demonstrates your commitment to ensuring your guests have a satisfactory experience, even in challenging circumstances.
  • Document and Report: Keep a record of any incidents, complaints, or feedback received during the tour. This information will be valuable for improving future tours and providing insights to your organization, if applicable.
  • Learn from the Experience: Reflect on difficult situations and learn from them to enhance your future tour planning and management. Evaluate what worked well and identify areas for improvement, ensuring that you are better prepared for similar situations in the future.

Remember, while handling difficult situations can be challenging, your ability to remain calm, communicate effectively, and prioritize the safety and well-being of your guests is vital. By demonstrating empathy, proactivity, and professionalism, you can navigate through challenging circumstances and ensure a positive experience for your guests.

Ensuring Guest Safety and Satisfaction

As a tour guide, the safety and satisfaction of your guests should always be a top priority. By implementing proactive measures and creating a positive environment, you can ensure that your guests have a safe and satisfying experience. Here are some key aspects to consider:

  • Thorough Risk Assessment: Conduct a comprehensive risk assessment before each tour to identify potential hazards and develop appropriate safety measures. Consider factors such as weather conditions, terrain, activities, and the physical capabilities of your guests.
  • Provide Safety Briefings: Start each tour with a safety briefing to educate your guests about any potential risks, safety protocols, and emergency procedures. Make sure they know how to use any equipment provided and encourage them to ask questions or express any concerns.
  • First Aid and Emergency Preparedness: Carry a well-stocked first aid kit and be trained in basic first aid techniques. Familiarize yourself with the nearest medical facilities and emergency services in the area. Be prepared to handle common emergencies and provide appropriate assistance.
  • Regular Equipment Maintenance: Regularly inspect and maintain all equipment used during the tour, such as hiking gear, vehicles, or water sports equipment. Ensuring they are in good working condition reduces the risk of accidents and malfunctions.
  • Monitor Weather and Environmental Conditions: Stay informed about weather forecasts and environmental conditions. Modify plans if necessary to avoid exposure to extreme weather or unsafe conditions. Have a backup plan in place for unexpected changes.
  • Proactive Communication: Keep your guests informed about any changes to the itinerary, safety updates, or relevant information throughout the tour. Maintain clear and open communication channels, allowing your guests to raise any concerns or ask questions at any time.
  • Encourage Feedback: Regularly seek feedback from your guests to understand their needs, preferences, and concerns. Actively address any feedback received and use it to improve future tours and tailor the experience to meet their expectations.
  • Ensure Accessibility: Accommodate the accessibility needs of your guests, such as mobility restrictions or dietary requirements. Modify activities or provide suitable alternatives to ensure that everyone can participate and feel included.
  • Create a Positive Environment: Foster a positive and inclusive atmosphere where all guests feel welcomed and respected. Encourage interaction and mutual respect among the group, creating a supportive environment for everyone to thrive.
  • Exceed Expectations: Strive to exceed your guests’ expectations by going the extra mile. Surprise them with little touches, personalized gestures, or unexpected experiences to create a lasting impression of satisfaction and delight.

Remember, ensuring guest safety and satisfaction requires careful planning, effective communication, and a responsive approach. By taking proactive measures, prioritizing their well-being, and aiming to exceed their expectations, you can provide a exceptional experience that leaves your guests happy, fulfilled, and eager to recommend your services.

Maintaining Professionalism and Ethics

As a tour guide, maintaining professionalism and ethical standards is crucial for building trust with your guests and ensuring a positive experience. Upholding a high level of professionalism and ethical conduct not only reflects positively on you but also contributes to the reputation of the entire tourism industry. Here are some key principles to guide your behavior:

  • Expertise and Knowledge: Continuously update and expand your knowledge about the destinations you guide in, including history, culture, and current affairs. Be well-informed and able to provide accurate and insightful information to your guests.
  • Respect for Cultural Sensitivities: Show respect for the culture, customs, and traditions of the destinations you operate in. Promote responsible tourism practices that preserve and celebrate the local heritage, environment, and communities.
  • Professional Appearance and Conduct: Present yourself in a professional manner by dressing appropriately and maintaining a neat appearance. Demonstrate professional behavior by being punctual, attentive, and responsive to your guests’ needs.
  • Confidentiality: Respect the privacy and confidentiality of your guests. Do not disclose personal or sensitive information without proper consent. Safeguard any information obtained during the tour to maintain confidentiality and trust.
  • Honesty and Integrity: Be honest and transparent in your interactions with guests. Provide accurate information, including pricing, expectations, and potential risks. Do not engage in misleading practices or make false claims that may compromise guest trust.
  • Empathy and Inclusivity: Treat all guests with respect, regardless of their background, nationality, or beliefs. Foster an inclusive and welcoming environment, ensuring that everyone feels valued and included.
  • Conflict Resolution: Handle conflicts or disagreements with professionalism and diplomacy. Listen to all parties involved, seek understanding, and work towards a fair resolution. Maintain composure and remain neutral when mediating disputes.
  • Environmental Responsibility: Be mindful of the impact your tours may have on the environment. Promote sustainable practices such as reducing waste, respecting wildlife and natural habitats, and encouraging responsible behaviors among your guests.
  • Accountability: Take responsibility for your actions and mistakes. Address any guest concerns or complaints promptly and professionally. Learn from feedback and strive to continuously improve as a tour guide.
  • Compliance with Legal and Ethical Standards: Familiarize yourself with and adhere to local laws, regulations, and industry guidelines. Avoid engaging in any illegal or unethical activities that could tarnish your reputation and that of the tourism industry.

Maintaining professionalism and ethics ensures that you provide a trustworthy and reputable service. By practicing these principles, you not only enhance the guest experience but also contribute to the sustainable development of the tourism industry.

Enhancing Knowledge and Expertise

As a tour guide, continuously enhancing your knowledge and expertise is crucial for staying ahead in the ever-evolving world of adventure tourism. By deepening your understanding of destinations, honing your skills, and staying up-to-date with industry trends, you can provide a higher level of service and enrich the experiences of your guests. Here are some strategies to enhance your knowledge and expertise:

  • Continual Learning: Embrace a lifelong learning mindset by seeking opportunities to expand your knowledge. Read books, articles, and travel guides about the destinations you guide in. Attend seminars, workshops, and conferences to stay informed about the latest industry developments.
  • Destination Familiarization: Explore your guiding destinations extensively. Visit different sites, engage with locals, and immerse yourself in the culture. This firsthand experience will not only deepen your knowledge but also allow you to share enriching stories and insights with your guests.
  • Seek Feedback from Guests: Regularly seek feedback from your guests to understand their perspectives and areas for improvement. Use their insights to address any shortcomings and refine your guiding techniques. Actively engage in conversations with your guests to learn from their experiences and gather valuable feedback.
  • Network and Collaborate: Connect with other tour guides, travel professionals, and industry experts. Join professional associations or online communities to exchange ideas, insights, and best practices. Collaborate with fellow guides on joint projects or share knowledge through mentorship programs.
  • Develop Specialized Skills: Consider developing specialized skills or expertise in specific areas of interest. This could include gaining certifications in wildlife conservation, cultural heritage, or adventure activities. This specialized knowledge will enhance the uniqueness and quality of your tours.
  • Technology and Digital Skills: Embrace technology and develop digital skills relevant to your role. Utilize online resources, apps, and platforms to enhance your guiding capabilities. Stay updated with social media trends to effectively market and promote your tours to a wider audience.
  • Language Acquisition: Learn additional languages to expand your communication capabilities with a wider range of guests. Being able to speak the language of your guests builds rapport and allows for a more immersive experience.
  • Keep Up with Industry News: Stay informed about the latest industry news, travel trends, and sustainability initiatives. Subscribe to industry publications, follow reputable blogs, and engage with industry influencers and experts on social media platforms.
  • Engage in Cultural Exchange: Immerse yourself in cultural exchange opportunities to gain firsthand knowledge about different cultures, traditions, and customs. This can be achieved through volunteer work, homestays, or participating in local community activities.
  • Reflect and Evaluate: Set aside time for self-reflection and evaluation. Assess your strengths and areas for improvement as a guide. Regularly reassess and update your tour itineraries, activities, and delivery techniques to ensure they meet the changing needs and expectations of your guests.

Remember, the pursuit of knowledge and expertise is a lifelong journey. By embracing continuous learning, seeking feedback, and connecting with others in the industry, you can enhance your guiding skills and provide exceptional experiences for your guests.

Marketing and Promoting Your Tours

Effective marketing and promotion are essential for attracting clients and growing your tour guiding business. By utilizing various marketing strategies and channels, you can reach a broader audience and showcase the unique experiences you offer. Here are some key tips for marketing and promoting your tours:

  • Create a Compelling Website: Develop a professional website that showcases your tours, highlights your expertise, and provides easy access to information and booking options. Ensure that your website is visually appealing, mobile-friendly, and optimized for search engines.
  • Utilize Social Media: Leverage social media platforms such as Facebook, Instagram, and Twitter to promote your tours. Share engaging content, including stunning photos, videos, and captivating stories. Interact with your audience, respond to comments, and use relevant hashtags to increase visibility.
  • Partner with Travel Agencies and Hotels: Collaborate with local travel agencies, hotels, and accommodations to establish mutually beneficial partnerships. Provide them with detailed information about your tours and offer commission-based referrals to attract potential clients.
  • Create Compelling Content: Publish informative and engaging content relevant to your tours on your website, blog, or social media platforms. This can include destination guides, travel tips, and personal stories that highlight the unique experiences you offer. Optimize your content with relevant keywords to improve search engine visibility.
  • Offer Special Promotions and Packages: Create exclusive promotions, discounts, or package deals to attract new clients or encourage repeat bookings. Collaborate with local businesses to offer unique add-ons or experiences as part of your tours.
  • Collect and Showcase Testimonials: Encourage your satisfied guests to provide testimonials and reviews of their experience. Display these testimonials on your website and social media platforms to build trust and credibility with prospective clients.
  • Attend Travel Exhibitions and Events: Participate in travel exhibitions, fairs, and conferences to showcase your tours and network with potential clients and industry professionals. Distribute brochures, business cards, and promotional materials to leave a lasting impression.
  • Build Relationships with Travel Bloggers and Influencers: Collaborate with travel bloggers, influencers, and vloggers who align with your target audience. Offer them complimentary experiences in exchange for honest reviews, social media exposure, or collaborative content creation.
  • Optimize for Search Engines: Implement search engine optimization (SEO) strategies to improve your website’s visibility in search engine results. Research relevant keywords and incorporate them into your website content, meta tags, and headlines.
  • Provide Excellent Customer Service: Deliver exceptional customer service throughout the entire guest experience. Respond to inquiries promptly, provide detailed information, and be attentive to guest needs. Word-of-mouth referrals and positive reviews can be powerful marketing tools.

Remember, marketing and promoting your tours require a multi-channel approach. Continuously assess the effectiveness of your marketing efforts, monitor analytics, and adjust your strategies accordingly. With a targeted marketing plan, you can attract more clients and position yourself as a trusted and sought-after tour guide in the industry.

Becoming a successful tour guide in the adventure tourism industry requires a combination of knowledge, skills, and a genuine passion for travel and exploration. By meeting the requirements and qualifications, researching and planning captivating tours, effectively communicating with guests, and building rapport with them, you can ensure memorable experiences. Handling difficult situations, prioritizing guest safety and satisfaction, maintaining professionalism and ethical standards, enhancing your knowledge and expertise, and implementing effective marketing strategies are all integral to your success as a tour guide.

Remember that continuous learning, adaptability, and a commitment to providing exceptional service are key. Embrace new technologies, stay informed about industry trends, and constantly seek to enhance your knowledge and skills. By creating engaging tours, fostering positive connections with guests, and promoting your services effectively, you can attract clients and build a strong reputation within the industry. Through professionalism, ethical conduct, and a genuine love for adventure, you can create unforgettable experiences and become a sought-after tour guide.

So, embark on this exciting journey with a mindset of constant improvement and a dedication to delivering exceptional adventures. As you guide your guests through remarkable destinations, remember that you have the power to inspire, educate, and create memories that will last a lifetime.

How to Write the Perfect Thank You Note for Your Travel Tour Guide

Going on a guided tour can be an amazing experience. A knowledgeable tour guide can really enhance your trip by providing context, stories, and insider information that allows you to get so much more out of visiting a new place. If you've just gotten back from a fantastic tour, one of the best ways to express your appreciation is to write your tour guide a thoughtful thank you note.

Today, we'll explore why taking the time to thank your tour guide is so important, provide tips for writing the perfect thank you message, and include thank you note examples and templates you can use. After reading, you'll know exactly how to craft a meaningful note to show your tour guide how much you appreciated their time and effort.

Why Send a Thank You Note to Your Tour Guide?

With how hectic life can be today, it's easy to move on from a great experience like a guided tour without expressing your gratitude. But taking just a few minutes to say thank you to your tour guide is so worthwhile, for several reasons:

  • It's a thoughtful way to show your appreciation. Tour guides work hard to plan and lead great tours. Thanking them will make them feel valued.
  • It can encourage great service in the future. Your note may inspire your guide to continue providing such excellent tours for future travelers.
  • It can help future travelers. Many guides proudly display thank you notes. Your kind words might sway other travelers to take a tour with that guide.
  • It's good karma. Expressing gratitude leaves both you and your tour guide feeling happy and fulfilled.
  • It stands out. In an age of rushed communication, a handwritten thank you card or letter makes a big impression.
  • It may get you perks. Some tour companies reward guides for getting great customer feedback. Your note could lead to the guide getting a reward that motivates them even more.
  • It's simply the right thing to do. When someone does something nice for you, you should say thanks. It's common courtesy.

In short, taking a few minutes to write a thoughtful thank you note gives your tour guide a valued token of appreciation while also spreading positivity. So don't skip this gesture - you'll be glad you made the effort.

While thank you notes take just a little time, composing one that really makes an impact does require forethought and effort. Follow these tips to craft the ideal thank you message for your tour guide:

1. Send it soon after your tour

To maximize the delight your note causes, send it soon after your tour ends while everything is still fresh in your mind. Shooting a quick email from the airport or writing a card from your hotel room lets your excitement and gratitude come through. If a little time has passed, just explain you've been meaning to write since you got home.

2. Use a handwritten card or letter when possible

In today's digital world, a handwritten thank you card or letter stands out - and shows you were willing to take the time to write a thoughtful message. It also makes keeping and displaying the note easier for your guide. If sending a handwritten note isn't realistic, an email is still appreciated.

3. Start by thanking them directly for the tour

Begin your note by directly thanking your guide for the excellent tour they provided. If you can, refer to them by name. Some examples:

  • Thank you so much for the fantastic tour of Charleston yesterday, Lee!
  • Hannah, I just wanted to thank you for the incredible tour through the Hermitage Museum.
  • Marco, thank you for providing such an amazing tour of Rome for our group last week!

Starting with a direct thank you sets a grateful tone from the beginning.

4. Mention a few specific things you appreciated

Go beyond a generic thank you by mentioning one or two things your guide did that really enhanced your experience. Did they share great stories? Help you discover hidden gems? Make key sightseeing arrangements? Mentioning a few specifics makes your note more meaningful.

5. Share the impact the tour had on you

Letting your guide know about the difference their tour made gives them a sense of purpose. You might explain how much you learned, how your experiences were deepened, or how they brought a destination to life for you. Be specific about the moments and sights that really made an impression.

6. Say you’ll recommend them in the future

It means a lot to guides to know you’ll recommend them to friends and family if they ever visit the same place. Saying you'd book another tour with them or request them again next time reassures them about the great job they did.

7. Add a memorable quote or fun memory

Did your guide say something funny or have an insightful quote that stuck with you? Including a quote or fun memory from your time together personalizes your note and reminds them of the rapport you built. Just a sentence or two creates a nice touch.

8. Close with a final gracious statement

End your thank you letter on another grateful note, perhaps expressing hope you’ll travel together again or that they’ll continue enlightening travelers. Some closing examples:

  • Thanks again for everything! You're fantastic at what you do.
  • I’m so grateful we had you as our guide. You made the trip unforgettable!
  • I hope our paths cross again sometime. All the best!

With a thoughtful closing sentence, you can wrap up your note warmly and memorably.

Thank You Note Examples and Templates

Reading sample thank you notes can help spark ideas for your own message. Here are a few thank you card examples you could adapt:

Dear James,

I just wanted to send you a quick note to say thank you for the wonderful tour of Berlin you provided us last week. Thanks to your vast knowledge of the city and passion for sharing it, our family got so much more out of our time there. I especially appreciated learning the history behind so many of the sights and hearing your stories about growing up in the city.

Our favorite memory was when you arranged for us to meet that street artist in the East Side Gallery and see him working on adding to the wall. That made such an impression on the kids and was something we never would have experienced without you. Please know we’ll be recommending your tours to anyone we know visiting Berlin in the future! You really made our trip extraordinary.

With gratitude, Alice

Hey Amanda!

I'm back home from the amazing long weekend in New Orleans you showed us around. I just had to take a minute to properly thank you for the spectacular tour. Your knowledge of the food scene totally made the trip - Anthony and I definitely would've missed out on all those incredible restaurants without your guidance! Plus, your stories about the city's history brought everything to life for us in a way we never could've gotten from a normal tour.

Thanks for making what could've been just another weekend getaway into a truly unforgettable New Orleans experience. We'll be suggesting your tours to anyone we know heading your way. Please keep doing what you do so well!

Gratefully, Jane

What an absolute pleasure it was exploring Yosemite with you this past weekend! Thank you immensely for serving as our guide and introducing us to the wonders of the park.

Your passion for Yosemite came through in every fascinating story and trail recommendation. Thanks to you, our hike up to Vernal Falls became a history lesson, nature walk, and photography class all rolled into one. And you didn't just show us the popular sights - those hidden gems like the wildflower meadow and glacier-carved valleys made this trip so special.

We couldn't have asked for a more knowledgeable, patient, and caring guide to make our Yosemite adventure everything we hoped for. I'll be sure to request you next time I visit the park and will spread the word about your excellent tours.

Warmly, Brandon

Remember the Importance of Thanking Your Guide

Planning with pushpins - Photo, Image

The tips and examples above should help you craft a thoughtful, memorable note your tour guide will genuinely appreciate receiving. While it's easy to forget, taking just a few minutes to write a thank you card or email after your trip wraps up is such a considerate gesture with so many benefits.

Beyond expressing your personal gratitude, thanking great guides helps encourage exceptional service for future travelers as well. Remembering the effort your guide put into making your tour special and letting them know you appreciate it is the right thing to do. Plus, imagining their smile when reading your gratitude will surely make your day brighter as well.

So next time you take an amazing tour, be sure not to miss the opportunity to send your guide a heartfelt thank you message. The little time this takes is repaid manifold in goodwill - for your guide, the tour company, and the whole travel industry. The end result of brighter days for both you and your guide is well worth it.

Why good tour guides are important

The importance of good tour guides for a successful travel experience

When customers book a travel experience with your business, they come with expectations. They rely on your expertise, your local knowledge, and your ability to provide them with an amazing experience.

In case they booked a travel experience that involves a tour guide, they want to travel worry-free. With someone else having the responsibility. The quality of the guide is therefore essential for satisfied customers. A good guide is able to boost the travel experience and add additional value. While a lesser guide does the opposite: leaving customers disappointed and dissatisfied.

A good tour guide does not only boost the travel experience for customers. But they are also responsible for making sure the trip creates positive impact on the destination and minimises negative impact.

“Local tour guides and drivers are the principal interface between tourists, the travel experience, the local community and the environment, and therefore have a huge responsibility.”

In this article

  • The importance of good tour guides

The qualities of a good tour guide

Tour guides and sustainability, sustainable tour guide training, reminder guidelines.

  • The significance of personal connection

Value your good tour guides

Tour guides have a huge responsibility during the travel experience. Not everyone is or can become a good tour guide. We’ve listed six most important qualities for a good tour guide to take into account.

1. Outgoing and engaging

To make travellers feel comfortable during a travel experience, the tour guide needs to be enthusiastic, outgoing, and engaging. Their task is to involve all people in the group and to create a happy and safe environment. They should be easily approachable for questions or concerns and also invite travellers to be curious and ask more questions.

2. Good communication skills

Besides being outgoing and engaging it’s important the tour guide has good and clear communication skills. This is necessary to make sure everyone is aware of the (day) planning and what’s expected of them. Good communication skills also come in handy when explaining specific do’s and don’ts in a sensitive destination.

3. Knowledgeable and passionate

The true added value of a good tour guide is their local knowledge. When visiting a destination, travellers are interested in for example local habits, foreign fruits, and history facts. They will always look at the guide first for further explanation and background information. Preferably, the tour guide is an expert and passionate about the destination.

City tour guide

4. Organised and punctual

Travellers having to wait on their tour guide because they’re late, are often stressed. And might be dissatisfied about the start of the travel experience. So, it’s important for the guide to always be on time, to have a clear structure and to follow the set itinerary . In case the customer requires a change, this could be possible but only when feasible and well-planned.

5. Patient and able to manage a crisis

Not all travellers are easy-going and flexible. A good tour guide knows how to take care of slower or difficult people. They have to remain patient at all times. They also know what to do in case of an emergency: handling the crisis while maintaining a calm atmosphere where possible.

6. Trained and qualified

It’s not a fundamental quality of a good tour guide, but it does add value to have trained and qualified guides. Guides with an official guide training and/or license are professionally trained to be a tour guide. They are able to organise and run a travel experience following official guidelines.

“We know that it’s not possible to provide an unforgettable travel experience without an excellent tour guide” – Anna Grodzki, manager of Matoke Tours Uganda.

When you are invested in good tourism , you want your travel experiences to be operated in a responsible way. Your tour guides are at the front of the operations and responsible for what actually happens during the travel experience. Therefore, it’s important they are aware and trained on your sustainability policy and practices.

In terms of sustainability, there are five main tasks of a tour guide during a travel experience. By adhering to these guidelines, they’re ensuring a responsible and good travel experience.

1. Treating local communities respectfully

Especially during community-based travel experiences, but also when simply visiting a local market, treating locals with respect is key. Tourism should benefit the local communities and provide positive impact. The tour guide sets the right example by treating locals with respect and ensuring the travellers do as well. A good guide also encourages authentic interaction.

2. Protecting the natural resources

Same as treating locals with respect, natural resources should be protected and well taken care of. This entails not touching and taking any protected flora and fauna from the environment, staying on the tracks, and always taking (plastic) waste out of nature . The guide is responsible for making sure travellers adhere the same guidelines.

Masai guide

3. Ensuring animal welfare

Travel experiences with wildlife are always sensitive and for the sake of the animals, tour guides have to make sure they’re treated well. Not only do they again set the right example, they’re also responsible for reporting mistreatment of animals. Their role is to explain to travellers why certain (captive) animal travel experiences are a no-go and highlight the animal-friendly alternatives.

4. Driving safe and responsible

When driving, the tour guide needs to follow responsible and safe driving guidelines. Keeping to the speed limits, staying on the designated roads, and turning off the engine when standing still are basic aspects. Also, the use of mobile phones is not responsible driving behaviour. In case of safaris , the guide is expected to keep a clear distance from wildlife and to always give them right of way.

5. Raising awareness and educate travellers

During the travel experience, it’s the tour guide’s responsibility all travellers behave responsibly. Even though they should already be informed before their trip, the guide’s task is to remind them and to explain certain rules and regulations. It’s about raising awareness and encouraging travellers to contribute to good tourism during their travel experience.

Nature tour guide

The most efficient way to make sure your tour guides are following your good tourism practices is training. Provide them with your sustainability policy and explain its practical implementation. Include tasks and guidelines they can relate to and also easily put into practice.

Tour guides are more likely to comply to (new) guidelines and rules if they’re part of the development process. And if they feel they’re contributing to a good cause. Organise a brainstorm session or workshop, ask for their opinion and give them a say. They have more local knowledge and can come up with interesting practices that are useful for everyone.

Best practice example

Matoke Tours’ specialised travel guide training program helps local guides excel in cultural tourism and outdoor adventure tours in Uganda.

To remind them about their training, develop a short one-page document with the practical sustainability guidelines. These guidelines can either be a reminder or a supplement of the actual training. It’s also very valuable to provide to new or freelance tour guides you’ve never worked with before.

By providing tour guides with physical guidelines, they’ll know exactly what’s expected of them on the job. Include the guidelines in their contract but also place them in the vehicles. Not only are they be reminded of it all times, but travellers also notice your effort and their commitment.

If you don’t work with local tour guides directly, make sure your local partner informs and trains them on your basic (good tourism) principles.

“90% of travellers want to experience a destination ‘like a local’ – GetYourGuide”

The significance of authenticity and personal connection

Tourism today is all about authenticity and personal connections, making incredible travel experiences possible. Beyond having knowledgeable and responsible guides, it’s the genuine stories they share that truly captivate travellers. People no longer just want to sightsee; they yearn to experience a destination “like a local.”

A recent survey by GetYourGuide revealed that 90% of travellers express a strong desire to explore a destination from a local’s perspective. Notably, over 60% of millennials emphasize the importance of authenticity in their experiences. This highlights the growing significance of genuine encounters that resonate deeply with travellers. And who could be better suited to foster these connections than knowledgeable guides who possess unique insights into the destination?

Establishing a personal connection with travellers is essential. When travellers bond with their guide, they feel at ease, allowing them to immerse themselves in local culture with curiosity and enthusiasm. The guide becomes a cherished companion, sharing personal stories, historical backgrounds, and adjusting narratives spontaneously based on the travellers’ interests.

To cultivate this essential connection, we present four key tips:

1. Showcasing guides on your website

Provide potential travellers with a glimpse into the personalities and expertise of your guides by featuring them on your website . Introduce each guide, highlight their unique backgrounds and experiences. When travellers can familiarise themselves with the guide beforehand, it boosts excitement and comfort right from the beginning of the journey.

2. Inquiring about travellers’ interests

Prioritise understanding your travellers by asking about their interests after booking. A brief, optional survey with multiple-choice questions about their favorite foods, animals, and other relevant preferences can offer valuable insights. Armed with this knowledge, your guides can create personalised experiences tailored to each individual’s interests.

3. Embrace flexibility in itineraries

To foster authentic and personalised connections, avoid strict scripts and itineraries. Allow your guides to integrate the travellers’ interests gathered from the survey and tailor the experience accordingly. While ensuring essential experiences are covered, the flexibility to accommodate spontaneous detours, such as visiting a local food market or discovering a hidden gem, will enhance overall satisfaction.

4. Encourage engaging conversations

Motivate your guides to engage in meaningful conversations with travellers throughout the experience. By actively listening to their needs, preferences, and curiosities, guides can better understand the group dynamics and adjust their storytelling accordingly. This creates an environment where open dialogue is valued, fostering cultural exchange and authentic connections.

Good and responsible tour guides are hard to find but worth so much if you have found them. Invest time or money in working with reliable partners or train guides yourself. Taking good care of your guides benefits your business and make you more successful long-term.

Committed and happy guides do their best to provide your travellers with the trip of their lifetime by taking that extra step. When done well, this results in satisfied and hopefully repeating customers.

I'll Be Your Tour Guide

I’ll Be Your Tour Guide

This is MIKE’S first day at work for his new job.  BECKY has been assigned as his tour guide to show him around the building and meet co-workers.

Becky : How you doin’? I’m Becky and I’ll be your tour guide.

Mike : Oh hi.

Becky : Yeah, so let me show you around this dump. (sighs) I don’t know why they keep asking me to do this sh’t but here we go, another tour. Yay. Follow me.

(they begin walking through the building)

Oh. Right off the bat, stay away from that guy, cause he’s a choch.

Mike : A what?

Becky : A chochsky.

Mike : What’s a choch?

Becky : Okay, look at him and say the word choch and it will come together for you. So, stay away from him…let’s move on.

(they walk)

Oh yeah. Make sure you don’t sit in front of Linda. Sit behind Linda because she likes to fire launch.

Mike : What do you mean?

Beck : Yeah, she’s a pick and roll type.

Mike : Pick and roll?

Becky : Yeah, she ah, (whispers) she digs deep, you know, pick, lick, stick and flick. You follow? (she gestures to her nose)

Mike : (dawns on Mike) Oh! She, she–

Becky : You got it honey. So sit behind her to avoid taking shots to the head on launch days.

Mike : That’s terrible.

Becky : You gotta see it to believe it honey.

Alright, so, don’t use this men’s bathroom, even though it’s closer. We have Greg doing all kinds of stuff in there. You meet Greg?

Mike : Greg? No.

Becky : Management must really like you then.

Mike : I don’t follow.

Becky : Greggie is offie. All the men just simply decided to just let him have his own bathroom. All the guys use the one downstairs.

Mike : Right.

Becky : Speaking of which, let’s take the stairs. I’m not into elevators. Got caught in an elevator once for four hours with a dead guy.

Mike : Dead guy?

Becky : Friggin’ heart attack.

Mike : While being stuck in an elevator?

Becky : You betcha. Oh. Before we get to the next floor let me tell you about Marva. Did you meet–

Mike : Marva I met, yeah.

Becky : Okay, well don’t get drunk in front of her, EVER. She’s always on the prowl. She likes to go for after work drinky drinks and I swear this when I tell you at least three men have come back different. I think she’s a vampire.  They have never been the same since…you know.

Mike : For real?

Becky : Want to find out?

Becky : There you go.  Remember the following; Vince is a druggie, Carlo smells like b.o., Misty is a bitch, Max is a tight wad, Hannah talks to birds. Ryan won’t be here much longer and you need to stop staring at my boobs.

Mike : What?!

Becky : I know my jugs are full but this ain’t gonna work if you keep hammering them home with your eyes, kid.

Mike : I wasn’t!

(she touches his face motherly)

Becky : There, there. I like you. You’re a sweet boy. Just do your job, stay focused and keep your eyes where they belong and you will do great things here.

Mike : I’m sorry, I really didn’t mean to—

Becky : No harm taken. If you look straight ahead, that’s the cafeteria. Let’s go grab some coffee for the rest of your tour.

A Guide to Tipping for Travelers

Tipping correctly can save you time, embarrassment, and money. While traveling, many people will offer their services to help make life easier, but it can sometimes be hard to tell who's just doing their job and who expects a tip.

Tipping is payment for a service rendered, but tipping can also be an act of gratitude for someone who goes beyond the call of duty, like a concierge securing front-row seats to the hottest show in town. Choosing not to tip will send a clear message that you have been dissatisfied with the service you've received.

These tipping guidelines are for the United States only. Expectations (and tipping amounts) can vary quite a bit from country to country. Check the travel guide for the particular country you will be visiting for the proper tipping etiquette.

Hotels and Resorts

Occasionally, you might stay at a hotel or resort with a no-tipping policy. In this case, you might find that you are already paying for service by way of a resort fee or service charge added your final bill.

  • When valeting your car, tip $1 to $2 to the attendant when he retrieves your car. You can also tip when dropping your car off, but this is optional.
  • You don't need to tip the doorman when he opens the door for you, but if he hails you a cab, you should tip $1 to $2.
  • Tip bellhops and luggage porters $1 to $2 for every bag they bring up to your room. At a luxury hotel, you might tip more, as much as $5 per bag.
  • For housekeeping, leave a daily tip of $1 to $5 per day, depending on the type of hotel and the size of the mess you've made.
  • If you order room service, you'll find most hotels already include a service charge on the bill. If there's no service charge, tip 15 percent.
  • The hotel concierge exists to help guests, so it's not necessary to tip if they give you directions or make a restaurant recommendation. However, if the service has been especially valuable, such as getting reservations to a restaurant that claims to be totally booked, tipping $5 to $20 is reasonable.
  • Be sure to check out our guide for tipping in Las Vegas as well.

In general, more and more cruise lines are moving away from traditional tipping and adding service charges, which will be split evenly among the crew. It varies from line to line, so make sure to ask about their tipping policy before you book your next cruise.

  • If the cruise line automatically adds the service charge to your account, you may be able to adjust it lower or higher as you deem necessary. The recommended amount is $10 to $20 per passenger for every day of your cruise.
  • Baggage handlers work for the port and not the cruise ship, so you should tip $1 to $2 per bag or $4 to $5 per party.
  • Like at a hotel, you can leave $1 to $5 per day for housekeeping in your cabin.
  • You will most likely have different servers every day, but if there is someone that stands out (like a bartender who remembers your drink order), feel free to hand them a small token of appreciation.
  • Upon any delivery to your cabin, like room service or a special request, you should tip $1 to $3 per visit depending on how much you order.
  • Tipping the head waiter isn't necessary, but you can give $5 to $10 if they accommodate a special request or go above and beyond.
  • Onshore excursions, you should tip your guides based on the level of personalization from $2 to $10.
  • For children's club counselors, tipping is not necessary.
  • It's the ship captain's job to command the ship and, occasionally, socialize with guests. Tipping is not necessary and would most likely be refused.

Restaurants and Bars

Whether you're enjoying a night out on the town or just popping down to the hotel lounge for a nightcap, standard tipping practices still apply when you're traveling.

  • Tip your server 15 percent to 20 percent of the bill based on the pre-tax total of the bill or more if you enjoyed the service. If a service charge has already been included, feel free to leave without tipping.
  • Bartenders should be tipped $1 per drink served, even if they're just pouring beer or wine.
  • Tip the sommelier 10 percent of your wine costs, even if it's a less expensive vintage.
  • If there is a bathroom attendant, who doesn't just hand out towels but also keeps the bathroom clean, drop a few coins in the tip jar or tip $1 per visit.
  • When collecting your things at the coat check, tip $1 per item checked.

Transportation

Depending on how you choose to get around when you travel, you might be expected to tip.

  • It's customary to tip cab drivers 15 percent to 20 percent of the fare.
  • If you use a rideshare app like Uber or Lyft, you're not obligated to tip the driver, but it's considerate to give $1 to $2 for a short trip or more for a long-haul ride.
  • If you arrange an airport shuttle transfer, tip $1 for every bag handled.
  • Tip limousine drivers 15 percent to 20 percent, unless a service charge is included.

How much you tip a tour guide varies depending on the tour's length, size, and overall quality. In most countries, tipping your guide at the end of a tour is standard practice and will be rarely turned down.

  • For a tour that only lasts a few hours, tip your guide 10 percent to 20 percent the cost of the tour. How much you tip also depends on the size of your tour, so you should tip more for a more personalized experience.
  • For a multi-day tour, you should tip your guide $5 to $10 per day on the last day.
  • If there was a driver in addition to a guide, tip them $1 to $5 per day.
  • For free tours, which are offered in many large cities , you should tip between $5 to $10, depending on the quality of the tour.

Spas and Salons

If you purchase an individualized service at a spa or salon, you'll be expected to leave a tip. Some spas might already include a service charge, so make sure to ask about this at the front desk when you go to pay.

  • For a spa treatment like a massage or a facial, tip 15 percent to 20 percent if no service fee has been included. If you're getting the treatment at a discount, your tip should be based on the original price.
  • There's no need to tip if you're visiting a spa with common facilities like saunas or hot springs without purchasing an extra treatment.
  • Medical spas might have more complicated treatments, like botox injections. Usually, tipping is not allowed for these kinds of services.
  • Hairstylists and manicurists should be tipped at 15 percent to 20 percent.
  • If someone else washes your hair, you can give them a $1 to $5.

Golf Courses

If you decide to go for a round of golf on vacation, you might run into these tipping scenarios.

  • On a golf course, the bag boy takes your clubs when you arrive and sets them up in a golf cart for you. He will also wipe them down before you leave, so tip $1 to $2 on arrival and $2 to $5 as you leave.
  • If you arrive without a tee time and the starter fits you in, you can tip them $1 to $5.
  • Caddies should be tipped 50 percent of the caddie fee, adjusted higher or lower for your satisfaction with their service.
  • A forecaddie works for a group of golfers and should be tipped $20 to $25 per player.

Ask a Tour Guide: What Surprises First-Time Tour Travelers?

U ntil you go on a tour, it can be hard to imagine what it’s really like. That was definitely the case for me: Before my first multi-day guided tour, I had certain ideas of what it would be like (not all of which were flattering). But each day brought new surprises, and made me appreciate the many strengths and delights of guided travel.

BEST OF THE BEST: Best Tour Companies for Guided Tours

Tour guides are a big part of making this magic. And since they work with hundreds of first-time tour travelers every year, I checked in with a few to see what sorts of things tend to surprise first-timers most. Here’s what they said.

It’s Easy to Make Friends

“Sometimes solo travelers who are new to group tours are a bit anxious about fitting in with the others—they don’t realize they’ve got newfound friends who are just waiting to be met, and they’ve already got something in common—a love of travel! I also find that many guests who’ve mostly traveled independently are nervous about having to follow a schedule or stick with the group – and they end up loving that someone else has handled all the organization and that there is always company to be had.” – Trafalgar Tours Director Pamela Russo

There Are Unexpected Perks

“Many of my guests on their first Globus tour would comment on how surprised they were to feel so connected to the places that they visited.  They would arrive on tour thinking that we would just visit the “must do” locations, which of course we did, but the guests loved that we often had local guides at our stops who added so much value to their visit as well as the tour director who took the time to tell the stories behind these locations that helped make them come to life.”  -Derek Lundgren, Globus

Flexibility is Built In

“I think people who have never been before are surprised by how dynamic expedition cruising can be. I find a lot of people come in anticipating the exact itinerary, but by the end they realize that when there are changes, it’s to add to the overall experience. By the time they get off, they realize you can feel so safe (changes are mostly made to make room for special experiences, to adjust for weather, and for the sake of safety) and looked after while having remarkable experiences. You get more out of the changes, not less.” – Shayne Sanders, Lindblad Expeditions

SOLO TRAVEL TOGETHER: 10 Best Tour Companies for Solo Travel

It Frees You Up to Enjoy the Destination

“I find my guests are most surprised by how much of a mental load a tour takes off them. When the big choices are made (what we should see it) and the logistics are covered, it frees up so much time and energy to more fully immerse yourself in a place. You’re only there one time in your life, you should be able to devote yourself to it, rather than the parking, the car rental, the wayfinding, etc.” – Backroads Trip Expert Joey Coe

WALK THE WORLD: Best Walking, and Trekking, and Hiking Tours

How Relaxing It Can Be

“I’ve been an Adventure Guide with Adventures by Disney for 10 years, and one of the most common phrases I hear is, ‘This has been the most relaxing and adventurous vacation of our lives! We can’t wait to book our next trip!’ One of the many things I love about Adventures by Disney is the insider access and VIP treatment we provide for our guests across all of our itineraries. Traveling with Adventures by Disney truly feels like having a Disney Parks Lightning Lane pass around the world! ” – Adventures by Disney Adventure Guide Byron Allen

The VIP Perks (Like Skipping Long Lines)

“The most surprising to first-time tour guests is that wherever we arrive it’s magically our turn. Like when we get to Venice, the transition from coach to the water taxi and then to gondola is so swift, that I see my guests in an awestruck trance during their VIP experience gliding along the grand canal. With the many things that fate can throw our way, guests often remark that with our local knowledge and invaluable contacts, we work the magic no matter what and that is such a reassuring comfort.” – Trafalgar Tours Director Patrizia Tocco

TOURS FOR SENIORS: 8 Best Companies for Senior Tours

Small Groups Bring Magic

“How pleasant it is to travel with a small group, because they get to have more quality time and conversations with their fellow travelers. They also love to have access to unique places and experiences with locals that would be impossible otherwise. Especially the ones that involved food with locals like the visit to the Tlahuac community or the cooking classes.” – Intrepid Leader Valeria Valdivia

It’s Full of Adventures and Companionship

“Guests frequently tell me ‘I expected to love the mountains and the scenery, but what I didn’t realize was how much I would enjoy my fellow travelers.’”

– Tauck Director Sarah Brooking-Morgan

Customs Duty Information

What is a customs duty.

Customs Duty is a tariff or tax imposed on goods when transported across international borders. The purpose of Customs Duty is to protect each country's economy, residents, jobs, environment, etc., by controlling the flow of goods, especially restrictive and prohibited goods, into and out of the country.

Dutiable refers to articles on which Customs Duty may have to be paid. Each article has a specific duty rate, which is determined by a number of factors, including where you acquired the article, where it was made, and what it is made of. Also, anything you bring back that you did not have when you left the United States must be "declared." For example, you would declare alterations made in a foreign country to a suit you already owned, and any gifts you acquired outside the United States. American Goods Returned (AGR) do not have to be declared, but you must be prepared to prove to U.S. Customs and Border Protection the articles are AGR or pay Customs duty.

The Customs Duty Rate is a percentage. This percentage is determined by the total purchased value of the article(s) paid at a foreign country and not based on factors such as quality, size, or weight. The Harmonized Tariff System (HTS) provides duty rates for virtually every existing item. CBP uses the Harmonized Tariff Schedule of the United States Annotated (HTSUS), which is a reference manual that the provides the applicable tariff rates and statistical categories for all merchandise imported into the U.S.

Duty-Free Shop articles sold in a Customs duty-free shop are free only for the country in which that shop is located. Therefore, if your acquired articles exceed your personal exemption/allowance, the articles you purchased in Customs duty-free shop, whether in the United States or abroad, will be subject to Customs duty upon entering your destination country. Articles purchased in a American Customs duty-free shop are also subject to U.S. Customs duty if you bring them into the United States. For example, if you buy alcoholic beverages in a Customs duty-free shop in New York before entering Canada and then bring them back into the United States, they will be subject to Customs duty and Internal Revenue Service tax (IRT).

Determining Customs Duty

The flat duty rate will apply to articles that are dutiable but that cannot be included in your personal exemption, even if you have not exceeded the exemption. For example, alcoholic beverages. If you return from Europe with $200 worth of purchases, including two liters of liquor, one liter will be duty-free under your returning resident personal allowance/exemption. The other will be dutiable at 3 percent, plus any Internal Revenue Tax (IRT) that is due.

A joint declaration is a Customs declaration that can be made by family members who live in the same household and return to the United States together. These travelers can combine their purchases to take advantage of a combined flat duty rate, no matter which family member owns a given item. The combined value of merchandise subject to a flat duty rate for a family of four traveling together would be $4,000. Purchase totals must be rounded to the nearest dollar amount.

Tobacco Products

Returning resident travelers may import tobacco products only in quantities not exceeding the amounts specified in the personal exemptions for which the traveler qualifies (not more than 200 cigarettes and 100 cigars if arriving from other than a beneficiary country and insular possession). Any quantities of tobacco products not permitted by a personal exemption are subject to detention, seizure, penalties, abandonment, and destruction. Tobacco products are typically purchased in duty-free stores, on sea carriers operating internationally or in foreign stores. These products are usually marked "Tax Exempt. For Use Outside the United States," or "U.S. Tax Exempt For Use Outside the United States."

For example, a returning resident is eligible for the $800 duty-free personal exemption every 31 days, having remained for no less than 48 hours beyond the territorial limits of the United States except U.S. Virgin Islands, in a contiguous country which maintains free zone or free port, has remained beyond the territorial limits of the United States not to exceed 24 hours. This exemption includes not more than 200 cigarettes and 100 cigars:

  • If the resident declares 400 previously exported cigarettes and proves American Goods Returning (AGR) , the resident would be permitted or allowed to bring back his AGR exempt from Customs duty.
  • If the resident declares 400 cigarettes, of which 200 are proven AGR or previously exported and 200 not AGR or not previously exported, the resident would be permitted to bring back his 200 previously exported cigarettes tax and Internal Revenue Tax (IRT) free under his exemption.
  • The tobacco exemption is available to each adult 21 years of age or over.

In December 2014, President Obama announced his intention to re-establish diplomatic relations with Cuba. The President did not lift the embargo against Cuba. Absent a democratic or transitional government in Cuba, lifting the embargo requires a legislative statutory change. Since the announcement, however, the Department of the Treasury’s Office of Foreign Assets Control (OFAC) has amended the Cuba Assets Control Regulations (CACR), effective January 16, 2015, to authorize travel within certain categories to and from Cuba and to allow certain imports from and exports to Cuba.

All travelers, including those from Cuba, must comply with all applicable laws and regulations. This includes the Harmonized Tariff Schedule of the United States (“HTSUS”) (2016) limitations on personal exemptions and rules of duty extended to non-residents and returning U.S. residents.

Persons subject to U.S. jurisdiction are authorized to engage in all transactions, including payments necessary to import certain goods and services produced by independent Cuban entrepreneurs as determined by the State Department and set forth in the State Department’s Section 515.582 list located at FACT SHEET: U.S. Department of State Section 515.582 List . On October 17, 2016, the Office of Foreign Asset Control relaxed restrictions so authorized travelers, arriving direct from Cuba, are now able to bring Cuban merchandise for personal use back to the United States and qualify for the U.S. Resident exemption (HTSUS 9804.00.65, which allows up to $800 total in goods, and adults 21 and older may include 1 liter of alcohol, 200 cigarettes, and 100 cigars). This exemption also applies to travelers, arriving from any country in the world, with declared Cuban merchandise.

Declared amounts in excess of the exemption are subject to a flat 4% rate of duty, and any applicable IRS taxes, pursuant to HTSUS 9816.00.20 and 19 CFR 148.101, which impose a duty rate of 4% of the fair retail value on goods from a Column 2 country.

Regarding goods: The Department of State will, in accordance with the State Department’s Section 515.582, issue a list of prohibited goods. Placement on the list means that any listed good falls within certain Sections and Chapters of the HTSUS which do not qualify for this exception.

Regarding entrepreneurs : The Cuban entity must be a private business, such as a self-employed entrepreneur or other private entity, not owned or controlled by the Government of Cuba. Travelers engaging in these transactions are required to obtain evidence that demonstrates the goods purchased were obtained from a Cuban entrepreneur, as described above, and should be prepared to furnish evidence of such to U.S. Government authorities upon request. Evidence may include a copy of the entrepreneur’s license and/or an invoice and/or purchase order demonstrating the goods were purchased from a specific Cuban entrepreneur. Whether a traveler presents adequate evidence that a good qualifies from importation and that it was bought from a licensed independent Cuban entrepreneur shall be determined on a case-by-case basis by the inspecting CBP officer.

Imports under Section 515.582 (i.e., imports from licensed independent entrepreneurs not on the Department of State’s prohibited list) must comply with all current U.S. Customs and Border Protection (CBP) formal and informal entry requirements, as applicable. This means that, while there is no value cap on the amount of goods that may be imported under this provision, the applicable duties in the HTSUS must be considered.

In particular, HTSUS 9804.00.65 allows for the duty-free importation of personal-use articles from a Column 2 country when the fair retail value of such goods is under $800. Also see 19 C.F.R. 148.33. HTSUS 9816.00.20 establishes a duty rate of 4% of the fair retail value for personal-use articles under $1,000 imported from a Column 2 country. Thus, any articles imported under this section for personal use with a value of under $800 can be imported duty free, and any articles imported for personal use with a value between $800 and $1800, will be subject to a flat 4% duty rate. Any articles valued over $1800, regardless of whether for personal use, will be subject to entry and should be classified, appraised, and assessed duty appropriately under the specific HTSUS Column 2 rates. Also see 19 C.F.R. 148.101 and 148.102. Any commercial importation, i.e., not for personal use, is subject to entry requirements and payment of applicable duties, fees, and taxes.

While these revised regulations may facilitate certain travel and trade with Cuba, all other laws and regulations applicable to international travel and the importation/exportation of goods remain in full effect. This means that all United States agency requirements applicable to a particular importation must be met and fully complied with, such as the regulations of the Food and Drug Administration, the Consumer Product Safety Commission, and the Animal and Plant Health Inspection Service.

Alcoholic Beverages

One American liter (33.8 fl. oz.) of alcoholic beverages may be included in your returning resident personal exemption if:

  • You are at least 21 years old.
  • It is intended exclusively for your personal use and not for sale.
  • It does not violate the laws of the state in which you arrive.

Federal and state regulations allow you to bring back one liter of an alcoholic beverage for personal use duty-free. However, states may allow you to bring back more than one liter, but you will have to pay any applicable Customs duty and IRT.

While federal regulations do not specify a limit on the amount of alcohol you may bring back beyond the personal exemption amount, unusual quantities may raise suspicions that you are importing the alcohol for other purposes, such as for resale. CBP officers enforce the Bureau of Alcohol, Tobacco, Firearms and Explosives (ATF) laws, rules, and regulations and are authorized to make on-the-spot determinations that an importation is for commercial purposes. If such determination is made, it may require you to obtain a permit and file a formal entry to import the alcohol before the alcohol is released. If you intend to bring back a substantial quantity of alcohol for your personal use, you should contact the U.S. Port of Entry (POE) through which you will be re-entering and make prior arrangements for the importation.

Also, state laws might limit the amount of alcohol you can bring in without a license. If you arrive in a state that has limitations on the amount of alcohol you may bring in without a license, that state's law will be enforced by CBP, even though it may be more restrictive than federal regulations. We recommend that you check with the state government about their limitations on quantities allowed for personal importation and additional state taxes that may apply. Ideally, this information should be obtained before traveling.

In brief, for both alcohol and cigarettes, the quantities eligible for duty-free treatment may be included in your $800 or $1,600 returning resident personal exemption, just as any other purchase should be. But unlike other kinds of merchandise, amounts beyond those discussed here as being duty-free are taxed, even if you have not exceeded, or even met, your personal exemption. For example, your exemption is $800 and you bring back three liters of wine and nothing else, two of those liters will be dutiable and IR taxed. Federal law prohibits business-to-private consumer shipping of alcoholic beverages by mail within the United States.

How to Pay Customs Duty

If you owe Customs duty, you must pay it before the conclusion of your CBP processing. You may pay it in any of the following ways:

  • U.S. currency only.
  • Personal check in the exact amount, drawn on a U.S. bank, made payable to U.S. Customs and Border Protection. You must present identification, such as a passport or U.S. driver's license. CBP does not accept checks bearing second-party endorsement.
  • Government check, money order or traveler's check if the amount does not exceed the duty owed by more than $50.

In some locations/POEs, you may pay duty with either MasterCard or VISA credit cards.

Increased Duty Rates

Items from certain countries.

Under what is known as its "301" authority, the United States may impose a much higher than normal duty rate on products from certain countries. Currently, the United States has imposed a 100 percent rate of duty on certain products of Austria, Belgium, Denmark, Finland, France, The Federal Republic of Germany, Greece, Ireland, Italy, Luxembourg, the Netherlands, Portugal, Spain, Sweden and the Ukraine. If you should bring more of any of these products back with you than fall within your exemption or flat rate of duty, (see below) you will pay as much in duty as you paid for the product or products.

While most of the products listed are not the type of goods that travelers would purchase in sufficient quantities to exceed their exemption, diamonds from the Ukraine are subject to the 100 percent duty and might easily exceed the exemption amount.

For information on countries that may become subject to a higher than normal duty rate, check the Department of Commerce Web site.

Countries With Free or Reduced Customs Duty Rates

The United States gives Customs duty preferences-that is, conditionally free or subject to reduced rates-to certain designated beneficiary developing countries under a trade program called the Generalized System of Preferences (GSP). Some products that would otherwise be dutiable are not when they are wholly the growth, product, or manufacture of a beneficiary GSP country. Visit the Office of United States Trade Representative website for additional GSP information.

  • Many products from Caribbean and Andean countries are exempt from duty under the Caribbean Basin Initiative (CBI), Caribbean Basin Trade Partnership Act, Andean Trade Preference Act and the Andean Trade Promotion and Drug Eradication Act.
  • Many products from certain sub-Saharan African countries are exempt from duty under the African Growth and Opportunity Act.
  • Most products from Israel, Jordan, Chile and Singapore may also enter the United States either free of duty or at a reduced rate under the U.S. free trade agreements with those countries.
  • The North American Free Trade Agreement (NAFTA) went into effect in 1994. If you are returning from Canada or Mexico , your goods are eligible for free or reduced duty rates if they were grown, manufactured, or produced in Canada or Mexico, as defined by the Act.

Additional information on these special trade programs can be found on the CBP Web site.

Household Effects & Personal Effects - Customs Duty Guidance

Household effects conditionally included are duty-free. These include such items as furniture, carpets, paintings, tableware, stereos, linens, and similar household furnishings; tools of the trade, professional books, implements, and instruments.

You may import household effects you acquired abroad duty-free if:

  • You used them abroad for no less than one year.
  • They are not intended for any other person or for sale.

For Customs purposes, clothing, jewelry, photography equipment, portable radios, and vehicles are considered personal effects and cannot be brought in duty-free as household effects. However, duty is usually waived on personal effects more than one year of age. All vehicles are dutiable.

Mailing and Shipping Goods - Customs Duty Guidance

Unaccompanied purchases are goods you bought on a trip that are being mailed or shipped to you in the United States. In other words, you are not carrying the goods with you when you return. If your unaccompanied purchases are from an insular possession (IP) or a Caribbean Basin Initiative (CBI) country and are being imported within 30 days and sent directly from those locations to the United States, you may enter them as follows:

  • Up to $1,600 in goods will be duty-free under your personal exemption if the merchandise is from an IP.
  • Up to $800 in goods will be duty-free if it is from a CBI or Andean country.
  • Any additional amount, up to $1,000, in goods will be dutiable at a flat rate (3%).

To take advantage of the Customs duty-free exemption for unaccompanied tourist purchases (mailing/shipping) from an IP or CBI country:

Step 1. At place and time of purchase, ask your merchant to hold your item until you send him or her a copy of CBP Form 255 (Declaration of Unaccompanied Articles), which must be affixed to the package when it is shipped.

Step 2. (a) On your declaration form (CBP Form 6059B), list everything you acquired on your trip that is accompanying you. You must also complete a separate Declaration of Unaccompanied Articles form (CBP Form 255) for each package or container that will be sent to you after you arrive in the United States. This form may be available where you make your purchase. If not, you may find the form on the CBP website.

Step 3. When you return to the United States, the CBP officer will: (a) collect Customs duty and any tax due on the dutiable goods you have brought with you; (b) verify your list of unaccompanied articles with your sales receipts; (c) validate your CBP Form 255 to determine if your purchases are duty-free under your personal exemption ($1,600 or $800) or if the purchases are subject to a flat rate of duty.

Step 4. Two copies of the three-part CBP Form 255 will be returned to you. Send the yellow copy of the CBP Form 255 to the foreign shopkeeper or vendor holding your purchase, and keep the other copy for your records.

Step 5. When the merchant gets your CBP Form 255, he or she must place it in an envelope and attach the envelope securely to the outside wrapping of the package or container. The merchant must also mark each package "Unaccompanied Purchase." Please remember that each package or container must have its own CBP Form 255 attached , the most important step to follow in order to gain the benefits allowed under this procedure.

Step 6. If your package has been mailed, the U.S. Postal Service will deliver it after it clears Customs. If you owe duty, the Postal Service will collect the duty along with a postal handling fee. If a freight service transports your package, they will notify you of its arrival and you must go to their office holding the shipment and complete the CBP entry procedure. If you owe duty or tax, you will need to pay it at that time in order to secure the release of the goods. You could also hire a customs customhouse broker to do this for you. However, be aware that customhouse brokers are private businesses and are not CBP employees, and they charge fees for their services.

If freight or express packages from your trip landed in the U.S. before you return and you have not made arrangements to pick them up, CBP will authorize their placement into general order bonded warehouse or public storage after 15 days (days for perishable, flammable, explosives). This storage and all other related charges (transportation, demurrage, handling) will be at your risk and expense. If the goods are not claimed within six months, they will be sold at auction.

Per U.S. Postal Service regulations, packages sent by mail and not claimed within 30 days from the date of U.S. arrival will be returned to the sender unless the amount of duty is being protested.
